Your Specific Responsibilities:
Finance & Accounting
+ Responsible for coordination of district-wide finance & accounting functions.
+ Process payments for all incoming invoices for goods and services received by the district.
+ Prepare FLAIR correction requests as required.
+ Audit long distance call detail reports on a monthly basis to ensure compliance with DEP Directive 820 and notify program administrator of potential issues.
+ Serve as the district’s travel coordinator. Prepare and process travel authorizations and reimbursements.
+ Serve as an alternate for accounts receivable activities.
Procurement
+ Responsible for coordination of district-wide procurement functions.
+ Assist with the administration of the purchasing card program and MyFloridaMarketPlace e-procurement for the district.
+ Train new employees on procurement functions and keep staff current with new and/or updated policies and procedures.
Regulatory Support
+ Responsible for receipt and data entry of permit applications for the submerged lands and Environmental resources per the standard operating procedure.
+ Process environmental resources permit transfers and time extensions per the standard operating procedure.
Fleet Management
+ Assist with the district’s vehicle reservation desk as needed. This includes scheduling reservations, preparation of folders and audit of folders to ensure required items are in place.
+ Coordinate the maintenance and repair of the district’s fleet as requested. This includes scheduling appointments and transporting vehicles to and from repair shops.
Welcome Desk & Regulatory Support
+ Monitor requests/assignments in DEP_NED in support of the district’s regulatory programs as required and ensures timely completion of requests.
+ Provide coverage at the welcome desk as requested.
Document Management
+ Convert paper documents to an electronic document of record by using the department’s electronic document management system (Oculus). This process may include document preparation, document scanning, validation, and quality control/quality assurance. Maintain compliance with DEP 335, Records Management.
Required Knowledge, Skills, and Abilities:
+ + Knowledge of the terminology, principles and analytical techniques of administration and business management.
+ Ability to understand and apply applicable regulations, policies and procedures relating to business programs.
+ Ability to evaluate, analyze and interpret business reports and supporting documentation.
+ Ability to determine work priorities and ensure proper completion of work assignments.
+ Ability to work independently.
+ Ability to prepare technical reports.
+ Ability to communicate effectively and professionally, both verbally and in writing.
+ Ability to establish and maintain effective working relationships with co-workers and leadership.
+ Ability to interact with customers in a tactful and courteous manner.
+ Ability to cross-train into multiple regulatory programs.
+ Ability to meet established performance standards as identified in the District Performance Standards document.
+ Ability to travel and maintain a valid driver’s license.

+ Experience with process review and efficiency implementation through use of continuous improvement strategies.
