Operations Coordinator
Our client, a leader in the oilfield services industry, is seeking an experienced Operations Coordinator to join their team. This role is key in ensuring smooth operations across multiple functions, including billing, inventory control, logistics, and supplier management. The ideal candidate will have a background in pipe yard operations or oilfield supply, with experience in coatings being a plus. This position involves collaboration with another team member to effectively manage responsibilities.
Key Responsibilities for Operations Coordinator:
Billing Cycle / Accounts Receivable (AR):
· Gather necessary documentation for invoicing by working closely with sales, yard operations, manufacturing teams, and clients.
· Ensure accurate, timely submission of invoices with all supporting documentation.
· Maintain and update ERP system orders and invoices as required.
· Coordinate invoicing with client Accounts Payable contacts.
· Monitor Accounts Receivable to ensure invoices are processed promptly. Address and resolve any late payment issues.
· Track Days Sales Outstanding (DSO) and maintain monthly sales data reports.
Inventory Control for Operations Coordinator:
· Ensure accurate maintenance of inventory records in the ERP system.
· Coordinate with yards and manufacturing teams to verify inventory accuracy.
· Conduct physical stock checks as necessary and resolve any discrepancies.
· Proactively address inventory-related issues and discrepancies as they arise.
Logistics Coordination for Operations Coordinator :
· Oversee shipping and receiving of materials to and from U.S.-based yards.
· Coordinate logistics for materials to and from client sites as needed.
· Work with central logistics in Monterrey to streamline cross-division and cross-border material flow.
· Manage occasional shipments from RF as required.
ERP System Champion (Acumatica):
· Serve as the in-house expert on the ERP system, ensuring it operates smoothly.
· Coordinate with external IT consultants for system updates, changes, or improvements.
· Regularly assess the system’s efficiency and implement continuous improvements.
Supplier Management:
· Assist in obtaining supplier quotes and managing purchase orders.
· Oversee supplier relations and coordinate orders through the ERP system.
· Ensure invoices from suppliers are processed promptly and monitor key material pricing.
· Work with suppliers to arrange necessary technical inspections.
Sales Support for Operations Coordinator :
· Provide operational assistance to the sales team when needed.
· Manage the technical team’s priorities and coordinate resources accordingly.
· Collaborate closely with account managers to support client relationships.
Operations Liaison:
· Act as the key point of contact across geographic regions for operations and logistics queries.
· Support the Houston team by coordinating logistics and addressing operational challenges.
· Contribute to the improvement of internal processes related to Operations, Inside Sales, and ERP integration.
· Work across departments to ensure the highest level of customer service.
Qualifications for Operations Coordinator:
· Experience in a pipe yard or oilfield supplier environment is highly desirable. Coating experience is an added benefit.
· Strong working knowledge of ERP systems, preferably Acumatica.
· Excellent organizational, communication, and multitasking abilities.
