Toll Brothers, America's Leading Luxury Home Builder, seeks an Operations Coordinator for our division office located in Irvine, California.

The Operations Coordinator provides high level support to the Community Planning Team within the division through the performance of a variety of tasks related to organization, communication, and administration to ensure the efficient and professional operation of the division.

Responsibilities

• Perform a variety of administrative tasks for the Commmunity Planning Department to include maintaining calendar & scheduling appointments; preparing letters of credit, correspondence, meeting minutes, reports, & other documents; answering telephone inquiries; greeting visitors; processing permits; maintaining files & records; purchasing office supplies & equipment; processing incoming & outgoing mail; overbudget report review
• Update & maintain accurate project development budgets at the direction of the Project Manager
• Invoice coding, & processing
• Production of contracts, purchase orders, change orders & contract Exhibit B’s (in Excel) at the direction of the Project Manager
• Ensure that signing limit protocols are followed for all contracts, purchase orders, change orders, & invoices
• Support and enforce all company standards including those mandated by internal audit
• Prepare monthly Concur expense reports
• Coordinate travel arrangements
• Run monthly vendor insurance reports
• Run weekly over budget reports and distribute to appropriate manager
• All other duties as assigned

Qualifications

This position requires a high level of organization and attention to detail, proficiency in Microsoft Office, and 1-3 years of residential construction experience.

Preferred:

• Development/Construction administration experience
• Accounting or bookkeeping experience
• California Notary Public

The salary for this position is $26.00-$30.00 per hour.
