About Us
Cache Valley Counseling (CVC) was established in 2017. In 7 years, we have grown from a one-person show to currently employing 15 people at our clinic in Cache Valley.
The founder of the company – is a practicing Marriage and Family therapist with particular expertise in couples counseling. Chelsea has grown the clinic from zero to over seven figures in revenue and we’ve experienced rapid growth over these past few years to get from zero to where we are today. Much of that growth has happened because of the incredible team and culture that has been created at Cache Valley Counseling. We now have a huge client database in the 5,000’s and we’re looking to add value to our service by bringing in a person to help us manage the most important roles in our clinic, while collaborating with our Clinical Director. The Role:
At Cache Valley Counseling, we owe our success to the efficiency of organizational processes. To help maintain and grow this standard, we’re seeking an experienced operations manager to oversee daily activities. The ideal candidate will have a sharp business mind and proven success in managing multiple departments for maximum productivity. This person will have in-depth knowledge of human resources, customer service, and clinic management, and be able to develop and maintain an environment of trust and accountability within the operations team and clinical staff. This role will be instrumental in driving efficiency, productivity, and overall business growth in cooperation with other departments.
You will be responsible for managing a busy front desk and waiting room experience, meeting and greeting our clients, answering the phone, converting inquiries into paying clients and ensuring that all of our clients are looked after and made to feel welcomed whenever they enter our world.
Ultimately, your job is to help facilitate coordination between departments and making sure that communication and expectations are clear both with clients and with employees.
The Tasks:
- Lead, motivate and support a team within a time-sensitive and demanding environment, including developing reports and implementing problem resolution.
- Manage data collection for updating of metrics to achieve productivity targets and analyze key performance indicators (KPIs), eliminate errors and deliver excellent customer service.
- Oversee office operations including clinician schedules, client payments and accounts, and office inventory.
- Guide front office staff in handling client objections with payments, scheduling, and other conflicts that may arise. Ensuring that clients understand company policies and financial obligations and are prepared and excited to attend sessions.
- Work closely with the Owner (Chelsea) and CEO (Brett) to carry out the forward-looking vision of Cache Valley Counseling.
- Ensure clear communication and reduce friction between all departments (marketing, sales, operations) to carry out yearly, quarterly, and monthly goals.
- Manage a proficient HR system (staff schedules, time-off requests, onboarding/offboarding staff, accountability, etc).
Skills/Competencies Needed:
- Bachelor’s degree (or equivalent) in operations management, business administration, healthcare management or related field
- Working knowledge of Google Suite, and familiarity with electronic medical records systems
- Intuitive IT skills to enable understanding and use of database program
- Basic understanding of HR and staff management principles, including recruiting, hiring, training, and regularly evaluating employees.

Compensation/Salary: 50,000-60,000 Annual Salary DOE
