Job Summary
Galapagos Federal Systems LLC is seeking a dedicated and detail-oriented Operations Officer specializing in administrative services to join our dynamic, diverse team. In this role, the Operations Officer will provide critical administrative and business management support for both ongoing and evolving programs within the Air Combat Command (ACC) and the Deputy Assistant Secretary of the Army for Defense Exports and Cooperation (DASA(DES), as well as their supported organizations.
As an Operations Officer, you will support the DASA(DES) Tasker Team by overseeing tasker tracking, monitoring, and management, ensuring timely coordination across departments. This role requires strong organizational and communication skills to manage administrative functions effectively, foster cross-team collaboration, and support the seamless operation of high-priority initiatives.
Skills / Experience Required
- Maintain and hold an active Secret DoD clearance
- Consolidate subject matter expert input and recommendations for hardware and software data relevant to Army Acquisition
- Collect and consolidate information to support analysis leading to the fielding of capabilities
- Make policy, procedural, and integration recommendations to the government, ensuring cost, schedule, and performance requirements are met
- Represent DES in government working groups, integrated product teams, and other planning meetings supporting the mission
- Advocate for leadership's position, providing feedback and recommendations
- Deliver executive-level summaries of tasks and meetings to DES leadership
- Serve as the primary point of contact for all task requests for supplies or services from DES activities
- Enter task details and track progress throughout the acquisition lifecycle, providing weekly status updates and detailed summaries
- Maintain continuous awareness of all assigned projects, updating government officials on any changes
- Prepare briefing charts, documents, and materials covering processes, planning, budget, testing, logistics, engineering, and acquisition decisions
- Support Army Acquisition by developing and refining briefing materials based on government and contractor-gathered information
- Prepare materials and attend weekly meetings, program reviews, and off-site meetings, ensuring presentation copies are stored in the SharePoint DES knowledge management system
- Act as the Organizational Operations SharePoint Site Owner, managing site administration, maintaining data, and coordinating with developers for functionality enhancements
- Provide administrative support for DASA(DES) and DES Deputy Director, including front desk coverage, visitor escort, information requests, and meeting facilitation for high-level offices
- Serve as primary liaison with the ASA(ALT) Staff Action Control Office, coordinating with DES Executive Officer and Executive Administrator on executive correspondence
- Provide ad-hoc backup support for conference room scheduling and VTC support
- Coordinate with Network Enterprise Centers to set up teleconference bridges, phone rosters, and maintain access rosters
- Record and track facility-related maintenance in the DES Facility Tracking Log within one day of completion
- Experience with MS Teams, SharePoint, and Office365 applications strongly desired
- Strong organizational skills and keen attention to detail
- Experience in high-visibility, headquarters-level environments
- Ability to thrive in a high-paced setting
Education / Certifications
- Bachelor's degree
- 24 + semester hours in any combination of the following fields: Computer Science, Information Systems, or Organization and Management is preferred
- Experience with ETMS system preferred

Security Clearance
Must be a U.S. Citizen. A high-level Department of Defense active security clearance is/may be required. Applicants selected will be subject to a security investigation and may need to meet eligibility requirements for access to government information.
Physical Requirements
Work may involve sitting or standing for extended periods of time and typing and reading from a computer screen. The candidate must have enough mobility, including bending, reaching, and kneeling, to complete daily duties in a prompt and efficient manner and that may include lifting to thirty pounds, as necessary.
