About the Job
The Operations Specialist I is a customer service driven role that requires quality, focus, and attention to detail. This position will perform an array of functions that will include answering incoming calls, communicating efficiently and thoroughly with both office personnel and field service technicians, and providing top level customer service to customers. The Operations Specialist I has a direct effect on our overall customer experience and should be welcoming, helpful, and professional at all times.
Duties:
- Answers incoming calls from customers and route to the correct parties
- Communicates pending service orders to dispatchers for field technician assignments
- Prepares estimates for service orders based on technician input and company standards, communicates review needs to appropriate lead/management level
- Submits and follows up on estimates to Customer, based on company standards
- Properly documents all customer information during each call, as well as ensuring information was recorded correctly and completely once each call is completed
- Handles multiple calls at one time if needed
- Professionally interacts with both internal and external customers
- Learns and utilizes Field Service Management Software, Microsoft Suite and tools appropriately
- Understands and strives to meet or exceed metrics while providing excellent, consistent customer service
- Adheres to all company policies and procedures
- Other duties as assigned
Specialty Functions
- Warehouse Receiving Control Specialist
- Receive inventory in the warehouse daily ensuring accuracy of shipments
- Tag and label parts and supplies with accuracy
- Organize stock and inventory within the warehouse in their designated location
- Replenish inventory for field technicians
- Maintain a safe and clean work environment by keeping shelves, pallet area, and workstations neat
Requirements:
- High school Diploma or equivalent preferred
- Able to work in a fast-paced environment while maintaining attention to detail
- Work well under pressure and ability to meet deadlines
- Works well in team driven environment
- Exceptional multi-tasking skills
- Previous experience in the HVAC and/or food service industry is a plus
- Exceptional verbal, and written communication as well as problem solving skills
- Proficient computer skills
- Exceptional interpersonal skills and the ability to work well in a team setting
- Knowledge of customer service principles and practices
- Exceptional organization and attention to detail
- Engage in a safety-driven work environment
- Dependable and honest professional
- Must be motivated, a self-started, and able to follow through on duties and assignments with minimal supervision
- Warehouse Specialist
- Forklift experience preferred but not required
Physical Demands:
- Comply with all applicable OSHA standards
- Continuous sitting in an office environment
- Continuous use of hand and finger dexterity when operating a keyboard
- Continuous use of sight to view information on a computer screen
