POSITION SUMMARY
The Operations Support Specialist will be responsible for performing a variety of activities in support of functional areas such as recruiting deployments, human resources or operations for the K-9 department.
RESPONSIBILITIES
- Track administrative deliverables as required for assigned programs
- Maintain, develop, and update Standard Operating Procedures and Process and procedures
- Collect and verify program information and ensure it is accurate in Company systems
- Coordinate travel, equipment procurement for students in training and operational personnel
- Forecast upcoming contractual needs
- Assist operations with administrative and financial tasks to include invoices coding
- Interface with internal and external stakeholders as required
- Provide data entry for the databases and other information tracking systems
- Assist with tracking
- The status of the movements of personnel, canines, and equipment
- The equipment inventory and usage
- Preparation of periodic reports on assigned contracts, reoccurring audits, and personnel actions
- Field expenditures and operational compliance
- The validation of invoices (accounts receivable and payable)
- The preparation of procurement requests and track shipments to the end user
- Project-related databases (Deltek, ADP, Quickbase)
- Create and maintain project-specific administrative records
- Maintain confidentiality of all corporate, personnel and research matters
- Recommend and implements office procedures. Identify problems, suggest solutions and respond to change with a high degree of attention to detail and foresight
- Assist with pre-onboarding related activities for applicants
- Assist with deployments related activities as needed
- Act as the cross functional liaison with Operations, Training, Recruitment, and Human Resources on delivery requirements and timelines
- Collect documents, create and maintain electronic files per specific division and compliance standards
- Audit documentation, ensuring all fields are complete and contain required information
- Code K-9 related invoices per Accounts Payable’s requirements
- Create reports as required
- Ensure applicants and employees are treated in a professional and courteous manner
- Follow all Standard Operating Procedures
- Travel as necessary for the position
- Other duties as assigned
QUALIFICATIONS
- Must be able to obtain a Security Threat Assessment (STA) and Known Traveler Number (KTN) within four weeks of employment required.
- Minimum of two years of administrative experience is preferred
- Proficiency with MS Office
- Effective oral and written communication skills with all levels of the organization
- Strong organizational skills with the ability to manage time and multiple priorities to completion
- Problem solving skills with an analytical thought process
- Ability to adapt to a rapidly changing environment
- Willing to travel within U.S. to contract locations
- May be required to lift and carry awkward items weighing up to 25 lbs
- Requires intermittent standing, walking, sitting, squatting, stretching and bending throughout the workday

WORKING CONDITIONS
Work is typically based in a busy office environment and subject to frequent interruptions. Business work hours are Monday-Friday standard core hours, however some extended or weekend hours may be required.
