About the Job
Overview:
The Order Entry Coordinator will be responsible for data entering Trim, Interior/Exterior Door, and other millwork packages plus installation supplies for new construction in single-family homes. The following description details the duties. These duties include but are not limited to the following functions.
Responsibilities:- Start order Bistrack following ABS Naming Convention.
- Scan and save PO to Bistrack along with colors and plans.
- Match Submittals vs. PO amount.
- Copy Templets to call of orders & call off orders into sales orders in Bistrack.
- Re-Verify PO in Customer Portal to see no changes have occurred since start of order.
- Download changes if needed and request EPO or new PO.
- Verify ABS Scheduled date matches Builder date.
- Reviews orders and ensure totals PO amount and ensure material & material cost is correct.
- If PO does not match materials requested, contact Customer for updated PO.
- Notifies Field Manager if a delay happens to communicate new info.
- Updates new dates and notes in Bistrack when needed.
- Creates/enters Fill-In tickets in Bistrack according to Field Manager requests.
- If issues arise at jobsite that are Builder related, request for VPO and attach to Add-On ticket.
- Research reasons for ($0) Fill-in and attach reason code to Fill-In ticket.
- Receives VPO and releases ticket.
- Communicates Order # to Scheduler for Labor arrangement and PO issued.
- Enters Return Pick Ticket and schedules accordingly.
General:
- Working Safely and report any unsafe conditions.
- Verifying customer information is correct, and /or re-entering data.
- Pricing each item within the order.
- Reviews for accuracy and make changes when advised or necessary.
- Verify correct invoicing margin.
- Train new employees on the order entry process.
- Support the locations administrative staff in a variety of general office and clerical tasks.
- Performs other duties and responsibilities as required or requested.
Qualifications
- 1-2 years’ experience Data Entering.
- Some knowledge of millwork construction supplies.
- Working knowledge of floorplans, elevations, and blueprints.
- Ability to plan, coordinate, prioritize, and meet tight deadlines.
- Excellent written and oral communication skills.
- High degree of computer literacy (Microsoft Office).
- Team player
- Detail oriented
- Flexibility to multi-task in a demanding, fast-paced technical environment.
Working conditions
- Job requires some extended hours, as needed, to accomplish job requirements.
- Job requires working in manufacturing/warehouse environment which includes high temperatures and humidity.
- Job requires working in and around machinery/powered equipment and associated safety risks.
- Job requires interaction with internal and external customers to resolve issues.
- Job requires interaction with all levels within the location and all their direct reports (as needed).
Physical requirements
- Job requires lifting and sitting for long periods of time within an office environment.
