St. Malachy Catholic School, an Independence Mission School, is seeking a part-time Administrative Assistant who will work in tandem with the full-time Administrative Assistant as a member of the Operations Team, assisting the Administration Team in coordinating school activities and administrative tasks.

Key Functions:

• Collaborate as a member of the Operations Team and work in tandem with the full-time Administrative Assistant to coordinate the overall main office flow, function, and activities.
• Assist the Administration Team including the Principal, Assistant Principal, and Dean of Students in administrative tasks, prepare and accurately maintain a variety of reports, records, and files relating to students, staff, operations, and activities, including those of a confidential nature.
• Serve as Administrative Assistant, compose correspondence independently, prepare, type, and distribute communications, schedule appointments and meetings, make travel arrangements, interview and screen phone calls and visitors, receive, open, prioritize, and distribute mail.
• Provide technical information to students, staff, and the public concerning school policies, procedures, actions, activities, and schedules as appropriate. Maintain school calendar and coordinate school events as requested. Collect, compile, organize, and record a variety of data related to attendance, transfers, enrollment, personnel, payroll, equipment inventory, and student activities. Prepare and maintain related records, files, and logs. Collect and account for monies collected in conjunction with school activities, and process according to established procedures.
• Operate a variety of office equipment, including a calculator, copier, computer and communications equipment, and other school office equipment.
• Provide excellent customer service and reception to all visitors of the school as well as those who call or email the school seeking information and support.

Qualifications:

• Knowledge of school office terminology, modern office practices, procedures, and equipment, financial and statistical record-keeping techniques, health and safety regulations.

Requirements:

• High School Diploma or equivalent
• Minimum of two years of successful experience in a related secretarial or office position
• General bookkeeping skills, organizational and filing skills, and the ability to use electronic equipment for word processing, data management, information retrieval, visual presentations, and telecommunications.
• Proficiency in the use of Microsoft Office
• Have the ability to communicate effectively in English and demonstrate appropriate telephone etiquette
• Successful candidates must be able to clear all background checks as listed on Careers Page.

Schedule:

• 20 hours per week
• M-F
