The Bookkeeper plays a crucial role in supporting our management team. The Bookkeeper's primary responsibility is to manage the company's internal and external financial duties. The Bookkeeper works with ownership to keep the company fiscally healthy. This includes being involved in planning, cash flow, client payments, vendor bills, payroll, etc. Attention to detail, organizational skills, and solid numerical aptitude will be essential in this role.
Essential Duties and Responsibilities:
- Accounts Payable and Receivable: Process invoices, match purchase orders, and ensure timely and accurate payment processing. Prepare and distribute client invoices, track payments, and follow up on outstanding balances.
- General Ledger Maintenance: Help maintain the general ledger by posting journal entries and ensuring accurate and up-to-date financial records.
- Data Entry and Documentation: Enter financial transactions into QuickBooks Online (QBO), verify data accuracy, and maintain proper documentation. Prepare and maintain financial reports, spreadsheets, and other accounting records.
- Bank and Cash Management: Reconcile bank statements, monitor transactions, and assist with cash flow management.
- Expense Management: Review and verify employee expense reports, ensuring compliance with company policies. Process and reconcile employee reimbursements.
- Financial Analysis Support: Assist with financial analysis tasks, including budget preparation, variance analysis, and financial reporting. Compile data and generate reports for management review.
- Record Keeping and Filing: Maintain organized and accurate financial records, including physical and electronic filing systems. Ensure confidentiality and security of financial information.
- Audit and Compliance Support: Provide necessary documentation and information to assist with internal and external audits and ensure compliance with accounting principles, regulations, and company policies.
- Taxes: Reconcile sales tax transactions in QBO and Avalara AvaTax and approve taxes for payment. Maintain the asset schedule for annual tax reporting.
- Update our client's agreements in ConnectWise PSA with products purchased from our vendors.
- Review invoices from vendors to ensure we're being charged the correct amount.
- Organize team-building events for the SC office.
- Celebrate birthdays by purchasing desserts and distributing cards to employees.

- Experience with QuickBooks Online (QBO).

- Ability to research software application issues within vendors' documentation.

Educational/Previous Experience Recommendations:
- A high school diploma or equivalent is required, along with some bookkeeping coursework.
- An associate degree in accounting, finance, or a business-related field is preferred.
- Minimum 3 years of related experience required.
