A leading Investment Management firm in Boston, MA, is seeking a qualified candidate for the role of Office Coordinator (Part-Time). This position will manage front desk operations, coordinate calendars, maintain office supplies (including kitchen and gym areas), handle expense reporting, and assist with event planning. The Office Coordinator will work on-site in Boston, MA, for four days a week (Monday to Thursday), from 8:00 AM to 2:00 PM.
This is a 3-4+ month contract position, paying between $25-$33 per hour, depending on experience.

This position will manage front desk operations, coordinate calendars, maintain office supplies (including kitchen and gym areas), handle expense reporting, and assist with event planning. The Office Coordinator will work on-site in Boston, MA, for four days a week (Monday to Thursday), from 8:00 AM to 2:00 PM.

Key Responsibilities:
- Greet visitors, manage reception, route phone calls, and coordinate with building security for guest pre-clearance
- Handle calendar management and scheduling
- Manage conference room setups, stock refrigerators, prepare for meetings, and handle post-meeting cleanup
- Oversee office kitchen supplies (snacks, beverages, etc.) and assist with grocery lists and catering arrangements
- Assist the Office Manager with internal event coordination, such as meetings, luncheons, community service events, and company outings
- Process expense reports, primarily for the Investor Relations team
- Order office supplies and communicate with vendors for deliveries and pickups
- Distribute mail, check and restock gym supplies
- Assist team members with general office tasks such as making copies and sending mail
- Coordinate weekly Boot Camp classes, working with the personal trainer and keeping employees informed of schedule updates
- Support special projects and other administrative tasks as needed
- Bachelor’s degree and previous experience in administrative or office coordination, ideally in a professional services setting
- Strong communication and interpersonal skills
- Highly organized, detail-oriented, and self-motivated
- Proficiency in Microsoft Office Suite, particularly in Word, PowerPoint, Excel, and Outlook
- Experience with calendar management in Microsoft Outlook is preferred
- Professionalism and the ability to handle sensitive information with discretion
