Position Summary
We are seeking an organized, proactive, and detail-oriented Part-Time Office Manager to join our team. In this role, you will be responsible for ensuring the smooth operation of our office and providing administrative support to enhance our company culture and day-to-day operations.
Key Responsibilities
- Office Management:
- Maintain a clean, organized, and welcoming office environment.
- Welcome and assist guests, ensuring they have a positive experience while visiting the office.
- Manage office & food supplies, ensuring stock levels are sufficient and replenished as needed.
- Coordinate with vendors for employee services (bi-weekly car washes), office equipment, facilities management, cleaning services. etc.
- Manage the process for ordering and distributing company gear and swag for employees.
- Assist in managing space planning and furniture orders.
- HR & Employee Support:
- Assist with general HR administrative tasks, including maintaining employee records, preparing documents, policy rollouts, and handling confidential information.
- Provide recruiting support to help schedule phone screens and coordinate interviews for potential candidates.
- Manage the completion of new-hire paperwork and oversee the pre-employment screening process.
- Assist with onboarding new hires by preparing welcome kits and coordinating orientation schedules.
- Event & Meeting Coordination:
- Plan and organize office events, team-building activities, holiday parties, and employee appreciation events.
- Order catering or refreshments for company meetings.
- Special Projects
- Support the Senior Leadership Team with special administrative projects.
- Help prepare presentation materials for Senior Leadership Team meetings.
- Assist with data entry or report generation for Operations or Sales metrics.
- Help organize or digitize old records to streamline processes.
- Keep track of office subscriptions and software licenses. Manage admin rights and employee access tracking.
Qualifications:
- Proven experience (10 years) in office management, event planning, and administrative support. Human Resources experience is a plus!
- Strong organizational and multitasking skills with keen attention to detail.
- Ability to prioritize effectively in a fast-paced environment with little structure.
- Excellent verbal and written communication skills.
- A team player with a positive attitude and a proactive approach to problem-solving.
- Excellent interpersonal skills with the ability to build strong working relationships at all levels of the organization.
- Proficient in Google Workspace using MacBook platforms preferred.
- Proficient in learning new HR software with the ability to efficiently input, manage, and report on employee and applicant data.
- Flexibility in work schedule. The core schedule for this role is Monday - Thursday 10:00am - 3:00pm (20 hours) with a possibility to flex up or down in hours depending on business needs.

Compensation: $37.00 - $42.00 per hour depending on experience level and qualifications.
