About the Job
The Program Manager for the Office of Faculty Engagement supports Stetson University by overseeing various aspects of faculty professional development including grants, awards, events, and communication initiatives. The Office comprises diverse centers, learning units, and offices dedicated to supporting faculty and student academic development. The Program Manager will be part of an exciting team of Academic Affairs’ professionals and will serve in a highly visible role that requires exceptional skills in diplomacy, judgement, initiative, discretion, and attention to detail. This individual must have knowledge of higher education environments, policies, and procedures. To be successful, they must also possess a strong track record of outstanding executive function including organizational competence, reasoning and problem-solving skills, self-motivation and creativity, efficiency managing multiple projects simultaneously, and a commitment to producing high quality work. The Program Manager to the Office of Faculty Engagement will help cultivate a people-centered, high-performing, and relationship-rich culture of inclusive excellence.
ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES: Employment duties include, but are not limited to:
- Awards and Grants Management:
- Administer various faculty awards, summer grants, sabbatical leaves, Willa-Dean Lowery grants, Hand Awards, and other grant/award programs
- Manage pre-award processes including calls for proposals, web forms, proposal application intake, verifications, logistics support, and workflow
- Oversee and maintain post-award processes such as award letters, budget management, travel and purchasing coordination, deadline reminders, progress/final report intake web forms, storage, logistics, and workflow
- Manage faculty development travel logistics and track faculty accomplishments
- Manage and maintain undergraduate research programming including Stetson Showcase awards and the SURE Grants program, oversee web site creation and updates
- Web Sites and Communications:
- Oversee the creation, updates, and maintenance of websites for different programs within the Office of Faculty Engagement
- Coordinate Office-wide announcements, retreats, and other events
- Manage communication/marketing of Stetson faculty and staff professional development programming supported via external professional organizations and networks
- Data Management and Compliance:
- Lead the Data Integrity Initiative, ensuring data compliance, collection, and verification
- Support SACSCOC mid-year and reaffirmation reporting and data submission
- Oversee PowerBI Dashboard creation and maintenance for various programs and initiatives
- Contribute to annual reporting, providing evidence of impact and continuous improvement
- Gather data for reports such as annual reports and Board of Trustees updates, and catalog entries
- Budget Oversight:
- Handle budget approval processes for all Office units including WORLD, the Brown Center for Faculty Innovation and Excellence, First-Year Seminar program, Distinguished Scholarships & Fellowships, Writing Center/Program, undergraduate research, the Research Integrity Team, etc.
- Prepare end-of-year activity reports
- Division Coordination:
- Schedule and coordinate the Associate Provost’s operations meetings, monthly meetings with direct reports, university meetings, and meetings with external constituencies
- Facilitate logistics for faculty-related matters, meetings, and events
- Organize workflow and initiate follow-up action on behalf of the Associate Provost
- General Administrative Responsibilities:
- Hire, manage, and mentor student employees, graduate assistants, and office interns and coordinators
- Provide support for special projects, policy development, and other initiatives
- Contribute to blogs and facilitate the communication of policy updates and relevant information
- Perform other site and position specific duties as assigned
- Proficiency in Microsoft Office Suite and data visualization tools
- Experience in project management and data analysis
- Strong organizational and communication skills
- Ability to work collaboratively with diverse stakeholders
- Familiarity with Stetson University’sMission and Values and Strategic Priorities
- High school diploma/GED
- At least 2 years' experience in administrative role

Ideal Candidate Qualifications:
- Bachelor’s degree, preferably in business, management, or education
- At least 3 years’ experience in administrative support in a higher education setting
- Experience with web-based applications and social media marketing
Work Environment: This job will be conducted in DeLand Hall on Stetson’s DeLand Campus. The noise level is exceptionally quiet. Work will be conducted indoors for most situations.
Salary Grade: 7
