- POSITION SUMMARY
- Responsible for the expedient distribution of patient accounts incoming and outgoing mail and accurate scanning of documentation into the electronic medical record and financial institution check scanning software. Responsible for assisting the Patient Accounts Leadership team with all administrative needs.
- RESPONSIBILITIES AND ACCOUNTABILITIES
- Administrative Support
- Open and separate incoming mail by insurance checks, personal checks and zero pays from insurance companies including electronic correspondence in clearing house portal.
- Prepare, scan, verify, and file documents in EMR using file resource to ensure accurate filing. Strictly following established processes for naming and filing documents.
- Prepare, scan, and balance check payments received through mail.
- Distribute incoming faxes to appropriate Patient Accounts team member.
- Coordinating, scheduling and assisting Patient Accounts leadership with Outlook calendar appointments and schedules.
- Prepares agendas, reports, policy and procedures, PowerPoint presentations and materials for the department.
- Orders supplies and equipment as needed for the department.
- Enters information into the EMR to assist the Patient Accounts team in accurately billing for services.
- Attends departmental meetings as scheduled and any other duties required to support the department workload.
- Provides back-up assistance to all areas of the patient accounts team.
- Customer Service and Communications:
- Communicates with patients, insurance carriers and other outside entities in a professional manner. Identifies solutions and responds professionally to patient concerns, i.e., pleasant tone of voice, courteous language, etc. Uses appropriate grammar and demonstrates tact and diplomacy in patient interactions, by phone and in person.
- Diffuses negative situations with patients and maintains a pleasant and professional tone during stressful circumstances and heavy workload.
- Communicates with staff members in a professional, pleasant manner; Shares information relevant to work, no gossiping or disparaging remarks, accepts work without complaint or provides reasons why assignment is unmanageable, asks and answers questions related to improving department performance

- QUALIFICATIONS
- Education, Experience, Certification and Licensure Requirements:
- High School Diploma or equivalent required. Candidates must have strong computer skills to work in a Windows environment and a minimum of 3 years of experience with the Microsoft Office suite including PowerPoint, Excel, Word and Teams. Prior medical records experience and knowledge of medical terminology is preferred. Candidates must be able to work with a high volume of work while maintaining attention to detail and accuracy and demonstrate excellent oral and written communication skills.
