About the Job
High Point University Health is seeking a detail-oriented and highly organized Scheduling Assistant to join our Logistical Information Network Center (LINC). The primary role of this position is to manage and coordinate patient appointments across multiple dental practices within the HPU Health system. As the first point of contact for patients via phone or online inquiries, the Scheduling Assistant plays a critical role in ensuring seamless patient experiences from the initial appointment scheduling to follow-up visits. This position requires excellent communication skills, proficiency with scheduling software, and a strong ability to multitask.
QUALIFICATIONS:
Education:
- High school diploma or equivalent.
- An Associate's degree is a plus, but not required.
Experience and Training:
- Experience in a customer service role, preferably involving phone-based communication and appointment scheduling.
- Preferred experience in a medical or dental office setting.
- Familiarity with electronic health records (EHR) systems, with EPIC experience being highly desirable.
Knowledge, Skills, and Abilities:
- Exceptional interpersonal and communication skills, both verbal and written.
- Strong organizational and time management skills.
- Proficiency in using scheduling software and handling multiple lines.
- Ability to work efficiently under pressure while maintaining a positive attitude.
- Professional demeanor, with a commitment to providing excellent service as a representative of High Point University Health.
- Ability to receive and implement feedback for continuous improvement.
- Flexibility to adapt to the needs of various dental practices within HPU Health.
ESSENTIAL FUNCTIONS:
- Phone and Online Communication: Answer incoming calls and respond to online scheduling requests with professionalism and efficiency.
- Appointment Scheduling: Manage and optimize the scheduling of patient appointments across multiple HPU Health dental practices to ensure smooth operations and patient flow.
- Patient Information Management: Accurately enter and update patient information in the scheduling system, ensuring all data is current and correct.
- Insurance Verification: Verify patient insurance details and communicate any necessary information regarding co-pays and outstanding balances.
- Schedule Monitoring: Continuously monitor the appointment schedule, making adjustments as needed to accommodate changes and ensure maximum efficiency.
- Patient Communication: Follow up with patients regarding appointment confirmations, rescheduling needs, and reminders.
- Team Collaboration: Work closely with dental practice staff to address any scheduling conflicts or concerns and ensure clear communication across all involved parties.
- Administrative Support: Provide additional administrative support to LINC and dental practice staff as needed.
- Other Duties: Perform other related duties as assigned by the LINC Manager to support the overall goals of HPU Health.
ACCOUNTABILITY:
- Reporting: This position reports to the LINC Manager.
- Evaluation: Performance reviews will be conducted periodically, with an annual assessment involving input from supervisors, faculty, and practice staff.
