Patient Service Representative - Oncology

Job Summary: Provides non-clinical support to all providers, the clinical staff and patients of the Oncology Service line.
Roles and Responsibilities:
Patient Registration
- Accurately obtains or verifies complete patient demographic information
- Accurately obtains and verifies current patient insurance information
- Accurately obtains required registration documents per Cayuga Medical Center policies
Support Team non-registration tasks
- Answer phones for all incoming calls and direct them to the correct area
- Provide document management for department - includes importing electronic files into Aria or the scanning of documents into Aria
- Responsible for confirming the successful transmission of all faxes sent from the Aria software
- Assist with obtaining prior authorizations for either IV drugs or oral medications as required
- Assist with the rescheduling of patients as necessary due to provider schedule changes
- Assist with the proper processing of disability paperwork, including sending medical records as needed
- Processes both incoming and outgoing requests for medical records
- Processes incoming mail and distributes it appropriately throughout the department
- Act quickly to address any patient concerns or questions as they arise
Processing Provider Orders
- Schedule office and/ or treatment visits as ordered
- Schedule lab appointments for the CHOA draw station or fax orders to outside draw centers based on patient request
- When required initiates the prior authorization investigation for all scans or procedures
- Once authorization has been obtained are responsible for contacting central scheduling and scheduling imaging or procedure appointments based on patient
- Ensures that completed orders and required documentation are faxed to the correct performing location.
- Contact patients, via phone, to update them as to date and time of scheduled scans or procedures that are not scheduled while patient is in the office.
- Provides test preparation instructions to patients as required
- Referrals to outside physicians - contacts the office via phone and send required documents
- Follows up with outside offices as needed to ensure that requested consult appointments have been scheduled.
- Contacts patients via phone to provide them with appointment date and time.
- Assists with obtaining records from outside providers following established procedure.
Required Skills and Experience:
Education/Experience:
Education: High school diploma or GED equivalent.
Experience (minimum): 1 year as a receptionist in a medical office/ clinic/or department or 2-years' experience in a related healthcare field.
Requires knowledge of laws, regulations, and policies governing release of information, use of medical records and research (e.g. HIPAA, HITECH, The Common Rule); safeguards for maintaining confidentiality of protected health information; state legal reporting requirements.
Excellent telephone skills.
Ability to use computers and other office equipment.
Experience working in a fast-paced environment with the ability to multi-task and work well under pressure.
Preferred Skills and Experience:
- Previous medical office experience preferred
- College-level training/education in a healthcare support field preferred
- Previous EMR use/training helpful
- Experience in Electronic Medical Record Systems such as Meditech, Medent, and Epic
