Position Statement:
Cordially and efficiently greets and receives patients, ascertains their needs, and directs patient’s according to their needs. Is responsible for the flow of medical information as it enters and exits the medical practice and provides support for the smooth operation of the medical practice.
Key Responsibilities:
- Registers patients, updates and maintains accurate demographic and billing information, scans insurance cards, collects co-pays and outstanding balances, and refers patients to the Patient Navigators, as needed. Obtains consent to treat signatures when necessary. Checks-in and acknowledges patients on arrival to the medical practice.
- Performs necessary insurance eligibility verification, pre-certifications, and prior authorizations when necessary.
- Obtains accurate information for scheduling appointments with physicians, office staff, other practices, and hospitals (internal and external), as needed. When information is unable to be obtained, communicates this with the nursing staff prior to the patient’s appointment.
- Courteously receives, places and transfers calls using proper phone etiquette, handling phone information requests with courtesy, accuracy, and respect for patient confidentiality. Forwards messages to the appropriate personnel using various forms of communication, including but not limited to writing, phoning, faxing, E-mailing, and EMR messaging.
- Communicates with geriatric patients in a friendly and reassuring manner, being aware of physical problems like poor eyesight or loss of hearing when communicating with patient. Allows extra time and privacy to communicate if needed.

Knowledge, Skills and Abilities:
- High school diploma
- Typing and computer skills
- Medical terminology preferred
- Documentation in patients’ chart is done through the EMR, requires an understanding of the EMR or the ability to learn and comprehend.
- An ability to greet and interact with the public in a tactful, compassionate manner.
- Essential is the ability to maintain a positive attitude while integrating and closing multiple tasks, meeting deadlines, and prioritizing as circumstances indicate or as requested by the Practice Manager. Individual must be ethical, honest, and responsible.
- Strives to be a productive member of the department and the organization and always puts time to good use; seeks out work to be done and is always willing to help co-workers.
