Overview
APN Software Services is seeking a detail-oriented and experienced Payroll Specialist to join our team. The ideal candidate will have a strong background in payroll processing.
Position Summary:
The Payroll Specialist is responsible for ensuring accurate and timely payroll processing, maintaining employee records, managing payroll adjustments, and providing support to both employees and account managers on payroll-related matters. This position requires attention to detail, strong organizational skills, and the ability to handle multiple tasks within strict deadlines.
Key Responsibilities:
New Hire Onboarding: Obtain and verify new hire information. Input new employee details, including title, into the payroll system (Paycom).
Employee Data Management:
Update employee information for any changes on Paycom. Process termination of employees who have ended their employment.
Timesheet Management:
Follow up on timesheets from Monday to Tuesday during payroll week. Review timesheets on client websites ahead of payroll week to identify any pending or rejected entries.
Payroll Processing:
Handle various payroll adjustments, including shortages, garnishments, manual computation of gross and net pay, sick pay, etc. Prepare manual check stubs for final pay and process paystub mailing. Answer payroll-related inquiries from employees and Account Managers.
401(k) Management:
Input changes in employee 401(k) contributions, loan deductions, withdrawals, and transfers.
Compliance & Reporting:
Respond to unemployment, verification, and inquiries from other states. Complete and submit quarterly filings for specific states, including reports to the Department of Revenue, Department of Labor, Gross Payroll, New Hires, and Workers' Compensation.
General Administrative Duties:
Request updated Certificates of Insurance (COI).Sort incoming mail and faxes. Answer phone calls and provide support on payroll inquiries. File payroll-related documents and assist with completing forms and state correspondences. Assist with audit requests from Account Managers.
Qualifications & Skills:
Strong knowledge of payroll processes, tax regulations, and compliance. Experience with Paycom or similar payroll systems. Excellent attention to detail and accuracy. Strong communication skills for resolving payroll inquiries. Ability to handle sensitive and confidential information.
This position will play a vital role in maintaining the payroll process and ensuring that all employees are paid accurately and on time, while also supporting broader HR functions and state compliance needs.
