Job Description: The Payroll Administrator will be responsible for the timely and accurate processing of payroll for all employees. The role includes ensuring compliance with state and federal regulations, managing payroll records, handling payroll-related queries, and coordinating with HR and accounting teams.
Key Responsibilities:
Payroll Processing:
- Accurately process bi-weekly, semi-monthly, or monthly payrolls, including calculating wages, benefits, taxes, and deductions.
- Ensure timely submission of payroll and all required tax filings.
- Process and review manual adjustments, such as bonuses, retroactive payments, and terminations.
Payroll Compliance:
- Stay current on federal, state, and local payroll laws and tax regulations.
- Ensure all payroll activities are in compliance with legal requirements and company policies.
- Prepare and submit quarterly and annual tax reports (e.g., Form 941, W-2, 1099).
Employee Records Management:
- Maintain accurate payroll records, including timesheets, salary adjustments, benefit deductions, and direct deposit details.
- Handle the setup of new hires in the payroll system and process employee changes (e.g., promotions, terminations, or transfers).
Benefits and Deductions:
- Manage payroll-related benefits such as health insurance, retirement plans, and other deductions.
- Ensure accurate calculation and deduction of employee contributions to benefits programs.
Time and Attendance:
- Monitor and verify employee time and attendance records to ensure accurate payroll.
- Resolve discrepancies in timekeeping, working with managers and employees to address issues.
Reporting:
- Prepare payroll reports for management, including headcount, wages, overtime, and other key metrics.
- Assist with budgeting and forecasting payroll costs as needed.
Payroll Issue Resolution:
- Serve as the primary point of contact for employees on payroll-related questions and issues.
- Investigate and resolve any discrepancies related to payroll, benefits, or deductions in a timely manner.
Audit and Reconciliation:
- Conduct periodic payroll audits to ensure accuracy and resolve any discrepancies.
- Reconcile payroll accounts with the general ledger and ensure payroll tax payments are processed correctly.
Qualifications:
- 3+ years of payroll experience, preferably in a high-volume environment.
- Strong knowledge of payroll systems and software (e.g., ADP, Paychex, QuickBooks).
- Comprehensive understanding of payroll laws, taxes, and regulations.
- Strong attention to detail and the ability to manage confidential information.
- Excellent organizational, time management, and problem-solving skills.
- Effective communication and interpersonal skills.
- Proficiency in Microsoft Office (especially Excel) and experience with accounting software is a plus.
