The Payroll & Benefits Specialist at Brinkmann Constructors is an integral part of the Finance & People team, reporting directly to the Payroll Manager and playing a crucial role in enhancing and streamlining payroll & benefits processes. This position is responsible for the accurate and timely execution of payroll across multiple jurisdictions, ensuring compliance with state and tax laws, and managing complex payroll tasks. This role also actively supports the organization by administering employee benefits programs and ensuring compliance with policies, regulations, and applicable transactions. The Payroll & Benefits Specialist not only anticipates and addresses the evolving needs of payroll & benefits administration but also serves as a key resource for the entire organization, ensuring that all employees have reliable access to clear, accurate payroll & benefits information. This proactive and service-oriented approach is essential for maintaining the integrity and efficiency of operations.
Responsibilities:- Collecting, reviewing, and maintaining employee data in the Payroll/HRIS system.
- Processing weekly and biweekly payrolls, payroll taxes, and routine payroll tasks.
- Processing per diem, travel incentives, and other allowances for employees on temporary assignments away from their home base.
- Ensuring compliance with multi-state employment laws and taxation differences, especially concerning temporary work locations.
- Remitting weekly and monthly union fringes and assisting with union audits.
- Supporting the coordination of tax filings in the payroll system.
- Supporting the processing of payroll-related transactions, including employee benefits.
- Completing third party payroll and employment verifications.
- Resolving payroll issues and responding promptly to all payroll-related questions from employees.
- Assistingwith preparation of Worker’s Comp renewals and audits.
- Assistingwith retirement benefit plans, and other periodic projects as needed.
- Hands on knowledge and analytical troubleshooting expertise in Payroll/HRIS systems.
- Supporting the coordination of annual merit increases and bonuses with senior leadership.
- Administer various employee benefits programs, including but not limited to group health, dental, vision, FSA, HSA, life, disability, and employee assistance plans.
- Oversee maintenance of employee benefits files and ensure benefit changes are entered appropriately in HRIS system including enrollments, terminations, and qualifying events.
- Experience with self-insured medical plan, preferred.
- Assisting in developing and implementing new processes and technology applicable to the role.
- Supportive team member and embraces a collaborative mindset in working with cross functional departments such as People Team, Risk, Data Analytics, Finance etc. to provide insightful data to enhance performance.
- Performing other duties as assigned.
- Bachelor's degree in Accounting, Finance, Business, HR management or a related field.
- At least 2 years of proven payroll and/or benefits experience, FPC certification preferred.
- Must have prior work experience involving payroll processing and reporting in multiple jurisdictions with multiple sites.
- Must possess experience managing per diem, travel incentives, and other allowances for employees on temporary assignments away from their home base.
- Strong understanding of how employee benefits, fringe benefits, union dues, and certified payrolls work.
- Experience with UKG is a plus.
- Ability to handle sensitive and confidential information with discretion.
- Strong organizational skills and the ability to work under tight deadlines.
- Knowledge of tax regulations and reporting requirements.
- Excellent communication skills, both written and verbal.
- Proficiency with computer applications, including Microsoft Office suite and SharePoint.
Working Conditions
- The Payroll & Benefits Specialist’s work is primarily performed indoors at Brinkmann’s corporate office.
- Occasional travel may be required but is not a major component of this role.
- This role requires regular office hours, with potential for extended hours during reporting cycles.
- Light physical effort is required, including the handling of objects up to ten pounds and some standing, walking, sitting, talking, and/or hearing.
