About the Job
We are seeking a detail-oriented and experienced Payroll Specialist to manage payroll processes and ensure accurate and timely payments to employees. The Payroll Specialist will be responsible for processing payroll, maintaining employee payroll records, and ensuring compliance with company policies and legal regulations. This role requires strong analytical skills, familiarity with payroll software, and the ability to handle confidential information with integrity.
Responsibilities
- Payroll Processing:
- Manage and process payroll for all employees on a bi-weekly, semi-monthly, or monthly basis, ensuring accuracy in calculations, deductions, and payments.
- Verify timekeeping records and reconcile discrepancies, including overtime, vacation, sick leave, and other pay adjustments.
- Ensure compliance with company policies, tax regulations, and labor laws regarding payroll and employee compensation.
- Tax and Compliance Management:
- Calculate and process federal, state, and local taxes, as well as Social Security, Medicare, and other payroll-related deductions.
- Prepare and file required payroll tax forms (e.g., 941, 940, W-2, W-4) in a timely manner.
- Ensure compliance with government regulations, wage and hour laws, and reporting requirements.
- Employee Records Maintenance:
- Maintain accurate payroll records and employee information, including salary changes, deductions, bonuses, and direct deposit details.
- Manage employee benefits contributions and deductions, such as health insurance, retirement plans, and other voluntary deductions.
- Respond to employee inquiries regarding payroll, taxes, benefits, and other compensation-related issues.
- Auditing and Reporting:
- Conduct regular payroll audits to ensure accuracy and identify any discrepancies or issues.
- Generate payroll reports for management, accounting, and HR departments, including earnings, deductions, and tax information.
- Assist with year-end reporting and audit preparation, including reconciling payroll records for tax filings and other financial statements.
- System Management and Improvement:
- Use payroll software (e.g., ADP, Paychex, or similar systems) to process payroll efficiently and accurately.
- Collaborate with HR, Finance, and IT departments to improve payroll processes and ensure smooth system integration.
- Stay current on payroll laws and trends, making recommendations for process improvements and policy updates.
Qualifications
- Associate's or Bachelor's degree in Accounting, Finance, Business, or related field preferred.
- 2+ years of experience in payroll processing or a similar role.
- Strong knowledge of payroll regulations, tax laws, and employment legislation.
- Proficiency in payroll software (e.g., ADP, Paychex, QuickBooks, or similar systems).
- Excellent attention to detail and accuracy in handling payroll data.
- Strong analytical and problem-solving skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
