About the Job
Our Payroll Specialist provides hands-on payroll administration support and reporting non-union field and office employees in Oregon and Washington. The role requires someone who enjoys repetitive tasks and consistent routines, has a comprehensive understanding of job costing and experience with prevailing wage/certified payroll, demonstrates a high level of accuracy and detail orientation, and works independently to accomplish tasks in a timely manner. Essential Duties and Responsibilities * Review time sheets, wage computation, and other information to detect and reconcile payroll discrepancies. * Compute wages and deductions and make manual adjustments as necessary. * Process and issue employee paychecks and statements of earnings and deductions. * Provide training to project administrative staff to support the needs of the payroll department. * Process employees' re-rates and retro adjustments and setup and update tables in the system. * Ensure job cost and retro-adjustments are accurate, and fix entries as necessary. * Report Certified Payroll and update vacation/paid sick leave balances on a weekly basis. * Administer employee benefits and process monthly payments. * Process employee release paperwork and notifications to exiting employees. * Review and process unemployment forms. * Schedule tax payments, payroll deductions, and garnishments, request checks from Accounts Payable, and mail checks with requested information. * Process new employee paperwork and enter information into the payroll system; maintain employee personnel files ensuring paperwork is properly filed and stored. * Facilitate administrative hiring process for new hires and report new hire information to appropriate state unemployment offices. * Prepare a variety of reports. (e.g., employee benefits and payments; quarterly Federal (941), State, and City; annual worker's compensation; annual W2). * Administer apprentice dispatch and return process, as well as keeping updated records for status and correct wage rates for apprentices. * Participate in surveys requested by outside agencies. (e.g., BOLI, apprenticeship) * Provide information and documentation for payroll audits. Qualifications * Minimum 4 years' experience with full in-house payroll processing in the construction industry. * At least 1 year's experience using Trimble Vista Viewpoint software. * Working knowledge of job costing is required. * Extensive knowledge of payroll including familiarity with rules and requirements, and experience with prevailing wage/certified payroll is required. * Proficient with the Microsoft Office suite, and intermediate user of Excel. * Proficient with 10-key by touch. * Exceptional detail and accuracy, and thoroughness in completing tasks. * Highly organized and skilled at handling multiple, sometimes complex, tasks simultaneously. * Ability to remain good-natured while working under pressure to meet deadlines and manage expectations. * High integrity and utmost confidentiality to serve the best interests of the organization. * Ability to effectively communicate information and ideas verbally and in writing so others understand. * Ability to work well with a diverse set of professionals from construction job sites to the office. * Embraces learning and process improvement as well as seeks assistance when needed. Work Hours This is an onsite position based in Tigard. Normal work hours are approximately 7:30 am to 4:00 pm Monday through Friday. Ability to adjust hours and work overtime to meet business and personal needs.
