Silicon Valley Medical Development is currently seeking a talented Payroll Specialist to join our growing healthcare team!
Pay: $65,650-77,870 annually (Exempt)
Location: Los Gatos- Onsite
Shift: Alternating schedule Mon-Fri 8am-5pm and Mon-Thursday 8am-5pm and Sunday(flexible hours)-Sunday will be a remote day.
Silicon Valley Medical Development, (SVMD) LLC is a growing provider organization with community-based ambulatory care clinics and medical group practices in Santa Clara County.
The Payroll Specialist is responsible for assisting with processing end-to-end payroll to ensure employee compensation is timely, accurate and compliant. Additional responsibilities include Time and Attendance system maintenance, payroll review, payroll system maintenance, post payroll management reporting.
Essential Functions:
- Assist with preparation and processing of bi-weekly payrolls for exempt and non-exempt employees consistent with federal and state wage and hour laws including review of employee timecards, updates, leaves and terminations, data entry and file imports, and complete pre and post payroll reviews and reporting.
- Collaborates with HR to validate new hire records and employee changes.
- Understands and ensures compliance with all federal, California state and local payroll regulations for multiple entities, and maintains payroll policies and procedures to ensure compliance and best practices.
- Understanding of Union payments, Regular Rate of Pay, Missed Meal and Rest Period auditing.
- Maintains standard work processes and creates redundancy within the department through cross-training and process documentation.
- Assists Payroll team with auditing payroll internal controls and processes to ensure compliance with company payroll related policies, union agreement terms, timely updates of tax rates, responses to agency tax notices.
- Assists with system upgrades and enhancements. Coordinates system changes with ADP Customer Support to implement earnings, benefit deductions, and custom report creation and changes.
- Assists with regular management reports, including per pay period, quarterly and year-end reports (Gross Payroll, Hours Worked, Time Off Activity and Balances, Tax Deductions, Benefit Deductions, etc.)
- Maintains professional and technical knowledge by attending educational workshops.
- Demonstrated experience creating and maintaining a culture of customer service within a team.
- Learns new technology easily.
- Proficient with MS Office tools such as Microsoft Excel, Word, and programs that aid in analysis, communication, performance monitoring, etc.
- Ability to translate payroll & compensation terminology into terms understandable to employees, co-workers and management.
- Ability to organize and prioritize work and perform work with a superior attention to detail
- Ability to multi-task and adapt to changes in a fast-paced environment
- Must recognize the importance of handling highly confidential information
Minimum Requirements:
- Associate’s Degree
- 1 – 3 yearsof direct, relevant experience in payroll operations for a multi-payroll organization
- Knowledge payroll processing and time and attendance systems
- Knowledge of federal and state labor laws, such as the Fair Labor Standards Act, Equal Pay Act, state wage and hour regulations, federal and state payroll tax code, etc.
Preferred:
- Bachelor’s Degree preferred
- Familiarity with physician compensation practices and systems
- Knowledge of ADP Workforce Now and Time & Attendance (TLM or similar system).
