Job Summary:
The Payroll Specialist is responsible for the accurate preparation, documentation, and distribution of all payroll functions to ensure pay is processed on time and in compliance with government regulations. This position is responsible for maintaining and processing bi-weekly payroll for Milan employees in multiple legal entities in a very fast growing company. This position performs a variety of payroll processes, accounting activities, and will require a strong attention to detail and accuracy. An ideal candidate will have strong problem solving skills to quickly respond and resolve any inquiries regarding payroll related issues.
Responsibilities:

Prepare and review bi-weekly payroll package for multiple legal entities to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions

Maintain accurate records of payroll documentation and transactions

Ensuring accuracy of payroll data transmission by documentation and reviewing all pre- and post-processing payroll reports

Addressing and resolving employee payroll issues

Managing and administering to the business registration process for new States and Localities for payroll tax accounts

Responding to and corresponding with State, Federal, and/or local government institutions on tax notices

Supporting and participating in collaboration activities to promote and implement continuous process improvement

Researching and preparing reports for management, as needed

Verifying payroll tax accuracy and state compliance

Reconciling W-2s
-
Calculate, adjust, and process sales commissions
-
Prepare bi-weekly journal entries and month end accruals for payroll, PTO, commissions and bonuses

Prepare month end account reconciliations

Supporting audit tasks related to payroll accounting, 401K and payroll tax activity

Coordinating with and supporting Human Resources department with payroll related activities/matters

Prepare reporting requirements for state incentive programs (ex-NE ImagiNE Act)
Required Qualifications:

High school education or GED required
-
Minimum of two years post-secondary education in accounting or related field OR equivalent combination of education/experience combined (one year of education equals one year of experience) required

Associate’s or bachelor’s degree in accounting or related field preferred
-
Minimum of 3 years of previous payroll experience to include processing routine payroll tasks, answering inquiries from taxing authorities and a solid understanding of earnings/deduction taxation required

Medium to advanced level experience with Microsoft Excel required

Experience at a large scale and growing company preferred

Proficient with cloud-based payroll system - Paycom Software experience preferred

Knowledge in year-end tax reporting and 401k/Benefits deductions required

Knowledge of current payroll processing laws and regulations required

Experienced in finding solutions to technical payroll, tax, and systems related issues preferred
