Summary
The Payroll/AP Technician performs a variety of payroll administrative support functions for the processing of a bi-weekly, multi-state payroll and accounts payable. The position provides customer service to internal and external entities and assists in the audit of timesheets, benefits related items for employees. Vendor set-up, maintenance and processing of accounts payable.
Requirements
Payroll
- Reviews and inputs Federal and State tax and employee direct deposit information and changes
- Respond to payroll-related requests for information from internal departments, employees, and outside entities
- Audit bi-weekly timesheets, make necessary corrections, and prepare queries to review for completeness, accuracy, and adherence to company policy
- Process timesheet input in the payroll software to generate checks, direct deposits, and reports
- Analyze various reports to ensure accuracy and completeness of payroll; make manual adjustments as needed
- Complete bi-weekly, multi-state payroll processing in the payroll software by submission cut-off time dictated by 3rd party payroll service provider
- Reconcile and transmit files for retirement plans and garnishments
- Conduct research and remains current on Federal and State payroll tax laws and other applicable laws affecting payroll administration
- Prepare PCORI and 1095C annual reporting
- Seek innovative ways to streamline and improve workflow processes
- Support other staff members by helping with workloads
- Communicate and coordinate with Human Resources regarding new hire paperwork, benefits, leave accruals and separations as needed
- Maintain confidentiality of personnel and payroll records and reports
- Assist with special projects, system testing and implementation
- Assistance with data collection and responses for annual worker's compensation audit
Accounts Payable
- Audit employee expense reports in a timely manner for inclusion in payroll processing and month-end billings
- Vendor setup and maintenance in accounting system
- Coding of invoices and accounts payable voucher entry
- Processing of weekly accounts payable and sub-consultant payment runs
- Coordination and preparation of 1099s
- Other administrative duties as assigned

Education and Experience
- Associate degree in Accounting, Business Administration, Finance or related field
- Minimum of 3 years' experience processing full-cycle payroll, working with automated timesheet software, daily payroll operations, and providing internal and external customer service
- Experience in the A/E/C industry or professional services organization highly preferred
- Experience with enterprise/project management software tools (Deltek VantagePoint) preferred
- Proficiency in MS Office with advanced proficiency in Excel
- Accounting software proficiency
Other Requirements
- Must have a valid Arizona driver's license or be able to obtain a valid Arizona driver's license within 3 months of the start date.
