Job DescriptionGeneral Summary
Under general supervision responsible for devising and implementing technician and pharmacist schedules for the Department of Pharmacy Services according to the defined scheduling grid and associated department policies and procedures. Ensures payroll for technicians is completed accurately and on time according to policies and procedures of the University of Maryland Medical Center.
Principal Responsibilities and Tasks
Prepares the pharmacist and technician schedules using the software package VasTech and staffs each pharmacy satellite according to staffing grids and appropriate policies and procedures, including attendance and punctuality, and in accordance with departmental strategic objectives or initiatives.
- Ensures that pharmacists and technicians maintain an approved scheduling pattern, including number of hours per week, staffing location, and appropriate weekend rotation.
- Clarifies, identifies, and resolves schedule problems, questions, or related issues from staff and satellite managers.
- Handles schedule changes and requests for leave.Coordinates, on a daily basis, with the Administrator on Call (AOC) and Coordinator of Scheduling & Staffing to backfill vacant, unplanned absences.Interacts with staff on a daily basis to help them understand staffing and scheduling policies and procedures, to answer questions, and to provide solutions to staffing issues.
- Prepares payroll, including validating all missed punches; accruing and using holiday, vacation, and sick leave; and validating payroll hours through the UMMC Kronos system.
- Exercises discretion in handling confidential payroll and personnel data.
- Acts as and provides “role-model” customer service, exhibiting the values of the department in conduct and behavior, by showing respect and compassion for department employees and all others with whom there is contact at or in the interest of UMMC.
- Sets priorities and meets changing department and employee needs.
- Assists with in-service education for pharmacy staff in payroll and scheduling topic areas.
- Prepares scheduling and payroll reports for managers and administrators as requested.
- Makes difficult, on-the-spot decisions when faced with a staffing crisis, always prioritizing patient safety.
Qualifications
Education and Experience
- High School Diploma or equivalent (GED) is required. Associate's degree preferred.
- Three years of Pharmacy Technician experience.
Knowledge, Skills and Abilities
- Proficient knowledge of pharmacy staffing and scheduling processes, procedures, and policies.
- Knowledge of Microsoft Office applications, specifically Word, Powerpoint, and Excel. Must be highly skilled in using email as a primary method of communication.
- Knowledgeable of ability to train on the VasTech brand scheduling software.
- Advanced interpersonal skills to coordinate the scheduling activities of multiple pharmacy satellites and to positively communicate and work with pharmacy technicians, pharmacists, and pharmacy satellite managers.
- Advanced skills in methods of scheduling and staffing, conflict resolution, problem solving, communication, and teambuilding.
- Highly effective verbal and written skills are required to work successfully with a diverse group of staff at various levels to resolve customer service issues, and to give directions and instructions.
