WHAT WE ARE LOOKING FOR:
A Physical Asset Project Specialist to provide support to the Physical Asset Advisors, Project Managers, and the Physical Asset Operations team in all aspects of managing physical asset and capital expenditure projects and activities. This role will be responsible for tracking project contracts and invoicing for all projects throughout the portfolio as well as track budgeted costs, actual costs, and unbudgeted expenditures. This role will also assist in organizing and storing documents, issuing purchase orders, and maintaining pertinent data.
WHAT WE EXPECT FROM YOU:
Maintain capital expenditure tracking report (E-PhAD CapEx Tracker) as needed to ensure consistency with data provided by Development Team
Provide administrative support to the Physical Asset Advisors and CapEx Project Managers including, but not limited to note taking, document retention, planning meetings and developing agendas and/or materials as requested.
Update and maintain project progress, billable hours, budgets, and expenditures.
Assist Physical Asset Advisors and CapEx Project Managers update Physical Asset Directories (E-PhAD) for their respective communities
Assist Physical Asset Advisors and CapEx Project Managers in preparing annual capital budgets for their respective communities
Assist with updating processes for Physical Asset Operations annually
Maintain ordering and payment of SMC Uniforms and Coordinate mileage reimbursements for all Physical Asset Operations team members, to include tracking and submission of mileage reimbursement sheets
Communication to all departments and communities
Quarterly report of savings to send to VP of Operation
Track chargebacks to communities and corporate departments
Track and maintain the cost-saving of in-house labor vs contractor labor
Perform other duties as assigned by Manager and/or Supervisor
Contribute to team/company engagement efforts
JOB KNOWLEDGE & SKILLS:
Knowledge in Basic Contracting
Basic Project Management Skills
Basic Skills with Microsoft Project
Effective Communication Skills, written and verbal
Business Writing Skills
Knowledge of YARDI, word processing, graphics, and spreadsheets
Microsoft Office with advanced skills of Excel (Filtering, Formulas, Pivot Tables)
* High school diploma or equivalent.
* Administrative experience in an office environment preferred
* Advanced computer skills including Microsoft Office, Word and Excel
