Works collaboratively with Northside Hospital Leadership to administer and coordinate all operations in order to achieve and maintain clinical quality, financial viability, patient and visitor safety as well as service excellence and customer satisfaction. Responsible for the day to day operations and supervision of the assigned Physician Practice and all its employees. Responsible for the coordination of all practice services including but not limited to patient access, scheduling, pre-authorization, chart management, nursing, any procedures and/or other functions. Is responsible for ensuring compliance with departmental operational through-put goals. The job classifications of Practice Coordinator I, II, III share this common job description. The assignment of level is based on the score produced when scope data related to the physician practice .
Responsibilities:Primary Duties and Responsibilities
- Evaluates, identifies and makes changes in daily operations which include: adjusting staffing, use of resources and materials, priority setting and patient services to enhance the services within the practice.
- Implements, interprets, and ensures hospital and division philosophy, policies, procedures, and established standards of care and practice are followed. Ensures consistency of clinical practice documents and hospital-wide policies with recognized regulatory and specialty standards. Adheres to all recommendations and ramifications of JCAHO National Patient Safety Goals.
- In conjunction with the Physicians and practice leadership, and staff, ensures clinical guidelines are established for assessment, treatment, and special procedures.
- Works in collaboration with the Manager, Physician Practices to manage resources in order to meet budget expectations. Able to explain and justify variances from budget. Assists in the assembly of the operational and capital budgets which accurately reflect the financial and operational needs of the practice.
- Collaborates with Manager, physicians and marketing to develop strategies targeted to the consumer and referring physicians. Actively seeks out and reports opportunities for additional revenue/market growth and expense reduction.
- Consistently exhibits good customer service skills in all interactions with staff, patients and families. Establishes this as an expectation of all staff and actively monitors compliance with this expectation. Coordinates Employee Service Excellence activities.
- Works closely with the Manager, Physician Practices to manage the revenue cycle; including insurance verification and authorization, charge capture and reconciliation, collections, internal controls, coding, and denial monitoring.
- Works proactively with Business Office to manage/reduce denials.
- Hires, trains, orients, counsels, evaluates and administers disciplinary action in conjunction with the Manager, Physician Practices. Develops appropriate work schedules and assignments to ensure proper staffing for scheduled patients.
- Maintains open lines of communication with all staff. Conducts regular staff meetings to keep employees informed of practice and system issues. Provides updates to Manager.
- Monitors quality, productivity, through-put and efficiency of each operational area, resolves issues and recommends corrective actions as needed; oversees implementation with input from the Physician Practice Manager.

- Coordinates with Manager and staff to establish practice objectives and formulates plans
and methods for meeting overall practice goals.
- Maintains positive working relationships with all physicians.
- Acts as a liaison between practice and Northside Hospital services offered.
- Practices proper safety techniques in accordance with hospital and departmental policies and procedures. Immediately reports any mechanical or electrical equipment malfunctions, unsafe conditions, or employee/patient/visitor injury/accident to Manager.
PROFESSIONAL DEVELOPMENT AND LEADERSHIP
- Utilizes leadership principles to initiate, prescribe, influence, and facilitate changes in clinical practice when appropriate.
- Establishes collegial relationships with physicians, nurse practitioners, physician assistants and departmental staff.
- Works with health care team and the clinical and administrative leadership to ensure smooth, efficient and timely internal processes for treatment initiation and appropriateness of treatment plan at all clinical facilities.
- Collaborates with manager, medical staff and office staff regarding operational issues and systems improvement.
- Ensures staff clinical competency by ensuring the staff participate in formal and informal education and establish baseline competency in knowledge and skills for all department staff.
- Participates in activities designed to continue professional self-improvement.
- Provides/coordinates education for all members of health care teams regarding clinical practice guidelines and initiating new clinical applications.
- Assists Manager to interpret reports, identify trends, analyze variances, and recommend changes in treatment practices or departmental workflow.
ADDITIONAL DUTIES AND RESPONSIBILITIES

KNOWLEDGE SKILLS AND ABILITIES/LICENSE OR CERTIFICATION REQUIRED
- High School Degree or Equivalent
- Minimum of 3 years leadership experience in business, nursing, or healthcare related field; OR
- Bachelor’s Degree in a related field and a minimum of 1 year of leadership experience in business, nursing or health care related field.
- Demonstrated ability to set priorities, coordinate diversified and multiple activities, and make appropriate clinical and managerial decisions.
- Possess advanced problem solving and team building skills.
- Possess excellent communication and customer service skills.
KNOWLEDGE SKILLS AND ABILITIES/LICENSE OR CERTIFICATION PREFERRED
- Bachelor’s degree in business administration, healthcare administration or related field
- Physician practice or other ambulatory care setting management experience.
- Computer knowledge experience with Microsoft Office Suite; Implementation and maintenance of an electronic medical record.
