Summary:
Reporting to the Sr. Director, Development and Planned Giving, the Planned Giving Specialist manages the estate administration of planned gifts, including bequests and gift annuities and oversees all fundraising, marketing, and recognition efforts for Legacy Society members and prospects. The role also participates in the cultivation and stewardship of existing and prospective legacy society members, tracks and supports the fulfillment of requests for planned giving leads, and is responsible for the management of all planned giving meetings, mailings, and acknowledgements.
Responsibilities:
1. Manages the estate administration process from initial communications through final distribution. Reviews trust statements and related materials for bequest distribution requirements and restrictions. Independently communicates with executors and attorneys to make sure estates are proceeding in a timely manner. Ensures planned gift opportunities are tracked in database correctly to generate reports, benchmarking data and projections. Functions as point person for filing claims for inherited IRAs and other accounts, including regular follow up with institutions.
2. Generates leads via outreach to financial planners and legal professionals; Tracks and pursues leads generated from mailings, webpages and other sources; Compiles materials for new legacy members and for responding to prospect and donor inquiries with appropriate information on bequests, stock donations, and other legacy gifts.
3. Creates and maintains estate records in donor database with appropriate coding, actions, and gift information; Prepares gift transmittals and collaborates with gift entry team members to ensure accurate coding and reporting. Creates, maintains and manages accurate records of planned giving donors and prospects in the donor database, ensuring data integrity and confidentiality.
4. Drives and manages the administration of the gift annuity program. Creates and manages all illustrations and gift annuity contracts, and provides them to the front-line team, or directly to donors for their consideration.
5. Manages planned giving acknowledgments and thank you notes to ensure that executors or family members are thanked on a timely basis. Manages Planned Giving mailings, including newsletters, holiday cards, and special appeals.
6. Reconciles goals and realized gifts with finance and gifts processing team on a quarterly basis. Collaborates with the Senior Director, Development and Planned Giving to achieve strategic and fundraising goals, as well as campaign goals/objectives; Manages and drives all administrative functions of the planned giving program, including budgeting, scheduling and record keeping for team members. Compile, initiate, and logically format data and reports and contribute to analysis.
7. Acts as primary contact for our Planned Giving vendor (currently PGCalc), coordinating all activities for regular outreach to prospects, and annual surveys.
8. Partners with the Foundation’s events team to coordinate Planned Giving events and meetings. Drives strategy and logistics to ensure positive donor experiences and increase fundraising outcomes.
9. Occasional travel may be required to complete visits with donors and other stakeholders. Responsible for a variety of functions across the fast-paced planned giving team and supporting special projects as needed. Performing other duties as required.

Education and Skills:
· Bachelor’s degree required; combination of education and experience will be considered
· At least two years of related experience in gift planning, development, law, accounting or equivalent combination of experience
· Excellent written and verbal communication skills; Communicates clearly, concisely and appropriately
· Proficiency in Microsoft Word, Excel, and Powerpoint required; Proficiency in Raisers Edge or other relational database preferred
· Knowledge of PGCalc, or other Planned Giving software preferred
· Strong project management and organization skills, proofreading, accuracy, attention to detail and ability to multitask while meeting deadlines
· General knowledge of legal terminology and processes related to planned giving
· Ability to analyze and understand financial documents
· Ability to work individually as well as with a team.
