About the Role:
US Pipe is currently seeking a Plant Clerk to join our team. This person will report to the Plant Manager or Office Manager working closely with the HR Department. As with all employees, this individual is expected to demonstrate our core values: customer commitment, high-performance culture, fleet of foot, innovation, accountability, integrity, respect for others and teamwork. The primary functions of this role are to provide operational support to the local site as well as administrative duties related to the support of the Plant Manager and Department Managers.
Specific Responsibilities:
- Assists with plant attendance processes and point system.
- Assists with documenting absences and tracking of all call offs, disciplinary documentation, and communicates this information to supervisors.
- Assists with job posting for job vacancies as they occur.
- Prepares and distributes reports and forms in accordance with State and Federal requirements and company policies and procedures.
- Greets and screens visitors, answers general phone calls and directs callers to the appropriate person; also ensures that conference rooms are set up and prepared before and after meetings.
- Provides highly confidential administrative support for the Plant Manager or higher, such as: meeting scheduling; office organization; preparation for meetings; document preparation; mailings; copying documents; compiling notebooks; and other similar functions.
- Assist with site visits by customers, potential customers or other dignitaries.
- Assist in gathering Staff Meeting notes daily or when required.
- Orders or procures meals, snacks and or drinks to ensure guests are treated with a high level of hospitality.
- Ensure calendars and meetings for the functional V.P. or local site personnel are aligned with the other calendars as well as assists in any special projects or with work for other executives at their direction or request.
- Types letters including disciplinary actions and reprimands and puts together employee correspondences.
- Responsible for entering all employee data on required forms for input in the HRIS system. Data entry for hires, terminations, promotions, job transfers, etc. as needed.
- Prepares and maintains required reports (TO, anniversary, birthday, termination, new hire, employee roster, etc.)
- Maintains accurate attendance records on hourly employees and ensures the proper documentation is furnished for absences.
- Performs administrative functions in assigned areas of responsibilities which would include one or several of the following:
- payroll, personnel administration, accounts payable, accounts receivable, order entry, billing, customer service, dispatch, and sales/operations support.
- Meet all deadlines and stay current with other assigned work.
- Provide routine and special reports from the information system.
- Perform other generally accepted office duties performed in a manufacturing office environment.
- Performs other duties as may be assigned by the Plant Manager and or Supervisor.
Qualifications:
- Previous HR experience is preferred including hiring, terminations, time & attendance programs, labor agreements, knowledge of key employment laws such FMLA, FLSA, COBRA, HIPAA.
- Kronos and ADP experience is preferred.
- Must have excellent computer skills, high energy, driven, ambitious; with a willingness to learn and participate.
- HS diploma or GED.
- Minimum of 3 years of related work experience preferred
- High level of confidentiality and discretion.
- Excellent oral and written communication skills, professional presence, and strong phone skills. Working knowledge and experience with Microsoft Office (Word, Excel, and PowerPoint). ·
- Ability to multi-task and prioritize.
- Strong sense of urgency and service focus.
Physical Requirements/Working Conditions:
The employee will be working in an office environment but will do some walking through the plant (from time to time) exposing the employee to foundry operations. The employee will be exposed (very briefly) to the following working conditions: extreme heat and cold, noise, vibration, oils, and atmospheric conditions such as dust, fumes, and metallic particles. The employee will be required to perform the following actions (from time to time): standing, walking, balancing, stooping, kneeling, reaching, talking, seeing, hearing, and sitting. The majority of the actions will be sitting. Requires the ability to constantly use hands and arms to reach, finger, and feel. The ability to grasp and to twist upper body is required intermittently.
