About the Job
1901, Inc, a Madison-based company, is looking for a highly organized and detail-oriented person to fill the role of Plumbing Service and Special Projects Dispatcher and Project Manager Assistant. You will be responsible for taking plumbing calls, creating work orders, dispatching work orders, and day-to-day scheduling of technicians. You will also assist Plumbing Service and Special Projects project managers with day to day project tasks which can range from pulling a plumbing permit to creating and distributing submittals and closeout documents.

Responsibilities include:
· Receive emergency and non-emergency calls and record information and significant details.
· Address problems and requests by customers, field technicians and project managers in a collaborative and friendly manner.
· Coordinate and schedule service calls with customers
· Learn process and be able to execute autonomously to create work orders using a variety of software.
· Communicate and dispatch work orders to field techs
· Communicate and schedule day to day work with Project Managers and field technicians
· Prioritize calls according to urgency and location
· Monitor the status of field technicians throughout the day
· Data entry and logs of current calls, activities and other information
· Create submittal documents for projects
· Document and track important project details
· Assist with the contract review process for projects
· Create, administer and distribute reports and documents
· Track submittals through construction management software
· Maintain Project Documentation, aid with project closeouts, pull plumbing permits
Billing tasks associated with the Plumbing Service department (long-term area of ownership)
Assist with other tasks and/or departments as needed
Qualifications/Skills:
· Experience with dispatching in a similar capacity
· Experience as an Administrative Assistant preferred
· Experience with construction management software preferred
· Proficient in Microsoft Office Products
· Strong organizational skills and willingness to take initiative
· Customer Service mentality with composure under pressure
· Active listener with excellent communication and critical thinking skills
· High School diploma required
· Experience and comfort doing data entry
· Ideal candidate is tech-savvy and able to use multiple software products
· A great attitude and willingness to learn
