Summary:
The Policy Registrar is responsible for the accurate and organized assembly of policy contracts, ensuring compliance with state regulations and Northwestern Mutual procedures. This role involves inspecting, assembling, and mailing newly issued policies, as well as handling unreported changes, corrections, and specific policy pages. Additionally, the Policy Registrar will manage final action correspondence, such as amendments, ensuring they are included in policy contract mailings or referred to the underwriter as necessary.
Primary Duties & Responsibilities:
Registraring New Issues and Unreported Changes/Corrections (90%):
- Accurate Assembly: Assemble policy contracts neatly and accurately, enclosing required forms, notices, and brochures as specified by state regulations and Northwestern Mutual procedures.
- Output Management: Sort and match output for each policy number, including specification pages and DMS output (applications).
- Review and Verification: Review computer output to ensure the receipt of specification pages, comparing key information against the original application to verify completeness and accuracy.
- Document Compliance: Ensure all necessary copies are present and that field delivery/reporting requirements are met, including relevant case correspondence.
- Error Referral: Identify and refer any errors detected during the review process to the appropriate underwriter, PASS team, or Post Approval Analyst for correction via E-Referrals.
- Documentation of Mailings: Document any FedEx shipments or delays in mailing within the Workbench system.
Miscellaneous Duties:
- Perform additional responsibilities as needed to support the team and ensure efficient operations.
Qualifications:
- Attention to detail and strong organizational skills.
- Ability to manage multiple tasks and meet deadlines.
- Proficient in using computer systems for data entry and document management.
- Strong communication skills for effective collaboration with underwriters and team members.
