SUMMARY
The Post-Closing and Quality Control Specialist position is a critical component to the continued success of Citizens Community Bank’s loan quality and customer service. The primary function of this position is to perfect the loan file after loan closing and funding. A Post-Closing and Quality Control Specialist needs to be detail-oriented and possess excellent interpersonal, organizational, and communication skills while building and maintaining superior service to both peers and customers. This person will work within the loan operations team and work directly with lending staff, third-party vendors, and customers. Working with clerical and administrative support staff will be imperative while processing and maintaining all loan types as well as other functions assigned periodically. The candidate must have knowledge of commercial and consumer loans and documentation as well as the demonstrate the ability to review and prepare commercial and consumer loan documents.
DUTIES AND RESPONSIBILITIES:
- Diligently manage collateral and exceptions tracking systems including but not limited to security instruments, tax payments, insurance (hazard, force-place, life, flood), vehicle titles, UCC filings, etc.
- Effectively and efficiently navigate multiple bank loan systems and performing updates, corrections, and second reviews as needed.
- Assist with responses and required resolution items identified with the bank’s quality control, compliance, and audit programs.
- Collaborate and coordinate with the bank’s loan evaluator regarding bank policies/procedures and federal/state regulations.
- Proactively work with title companies to obtain final title policies and deeds of trust or security instrument documents for various loan closings with real estate collateral.
- Actively assist loan operations with loan document management by tracking original documents from our footprint that are required by the Federal Home Loan Bank (FHLB) and Federal Reserve Bank (FRB).
- Complete all vehicle title recording requests.
- Coordinate and complete recordings, filings, satisfactions, and releases.
- Accurately process loan payoffs and collateral changes.
- Disburse third-party fees to vendors.
- Consistently, and in a timely manner, monitor and review loan packages ensuring that all scanned documents are verified for accuracy and legibility and indexed to the respective digital warehouse.
- Willingly contribute solutions to increase efficiency and effectiveness.
- Utilize problem solving skills, external resources, and internal resources to resolve issues.
- Escalate complex issues (i.e., collateral documentation issues) to lender or senior management.
- Positively perform all other duties as assigned.

- Participate in Community Service and Bank-sponsored activities that serve and support the mission and values of CCB.
- Provide superior internal and external customer service: must demonstrate self-governance, courtesy, and respect toward external customers as well as internal customers (all organization personnel).
- Complete required bank and OnCourse training courses within assigned time frame(s).

QUALIFICATIONS:
- High school diploma or equivalent.
- Banking experience is preferred.
KNOWLEDGE, SKILL, ABILITY:
- Ability to remain organized and use effective time management skills,
- Ability to work both independently and in a team environment
- Must possess strong communication skills – written and verbal
- Willingness to be involved in the community, which will include time after normal working hours
- Basic computer skills with working knowledge of word processing, spreadsheets, and general computer applications.
- Must be organized and detail oriented.
- Must have a moderate level of knowledge of loan documentation.
- Must have a moderate level of knowledge of spreadsheets.
WORK ENVIRONMENT:
Must be able to routinely perform work indoors in climate-controlled shared work area with moderate noise level.

Must be able to operate routine office equipment including computer terminals and keyboards, telephones, copiers, facsimiles, and calculators. Must be able to routinely perform work on computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours or travel off site whenever required or requested by management. Must be capable of regular, reliable and timely attendance. Must be capable of climbing / descending stairs in an emergency situation.
Specific vision abilities required by this job include: The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation/inspection of machines and/or using measurement devices at distances close to the eyes.
