About the Job
As a Practice Client Services Representative (PCSR) at the Schwarzman Animal Medical Center, duties will include but may not be limited to keeping accurate medical records, clerical work, client education, and support of AMC Practice Services. This position requires practical knowledge of both practice and hospital procedures, policies, and services; client and patient treatment protocols; data transcribing and word processing; and the standard procedures, records and terminology used in the veterinary setting.
PCSRs work with the entire AMC Practice team to promote a positive attitude and an environment of patient and client-centered service, continuous quality improvement, and compliance with AAHA Standards and other statutory requirements.
Essential Duties and Responsibilities
- Acknowledge and cheerfully greet all clients and their pets in a professional and timely fashion.
- Proficiently register and check-in new and returning clients and patients.
- Appropriately provides client with all AMC Practice/Hospital information and required forms for intake and check out.
- Schedule rechecks appointments using Cornerstone.
- Handle all financial transactions and reconcile client files as needed – including auditing invoices prior to clients/patients checking out. Reconcile financial transactions each day.
- Assist in the dispensing and packing of medications (non-controlled substances) to clients.
- Appropriately assist patients in getting medications refilled.
- Offer alternative payment options to clients such as Care Credit, Wells Fargo, and AMC payment plans. Terms for both options must be explained to the client to ensure the client is aware of all conditions and agreements.
- Efficiently and appropriately communicate ongoing projects from shift to shift and among colleagues.
- Engage in client retention activities with the practice team.
- Maintain the confidentiality, security, and physical safety of all patients' medical records in addition to collecting, scanning, processing, maintaining, storing, timely retrieving, and distributing medical records.
- Depending on shift, responsible for opening and or closing the practice location while following the Practice's security protocols.
- Maintain the practice reception area in accordance with safety and infection control guidelines.
- Conduct oneself in a confident and professional empathetic manner consistent with AMC Core Values.
- Assist (when needed and not limited to) in transport of supplies, mail, outgoing labs to and from the main hospital.
- Ability to multitask in a practice environment and other duties as assigned.
Requirements
- Knowledge of veterinary office procedures and equipment.
- Knowledge of Veterinary Terminology, Wellness, and Animal Husbandry.
- Proficient in MS Office, PMS, and financial transaction management.
- Excellent telephone skills and make a positive first impression on patients and visitors to the practice.
Education and/or Experience
- High School diploma or equivalent. (College degree preferred)
- Minimum of 3-5 years of client services experience in a veterinary practice setting.
Language Skills
Ability to read, write, and comprehend instruction, short correspondence, and memos in English. Must be able to effectively present information in one-on-one and small group situations to customers, clients, and other employees in person, telephone, and all forms of electronic communication.
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, decimals, and percentages.
Reasoning
Able to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
