Job Summary:
We are seeking a proactive, organized, and efficient Practice and Front Desk Manager to support our medical practice with executive assistance, patient scheduling, and staff coordination. This key role requires someone who can operate with an executive assistant’s precision and foresight, ensuring tasks are completed efficiently and effectively while managing a range of administrative and patient-facing duties. Strong customer service and marketing skills are essential to create a welcoming environment and build a positive reputation for our practice.
Key Responsibilities:
- Executive Assistance: Serve as a primary point of contact for administrative support, helping the clinical team and billing teams address pending tasks, manage calendars, and oversee smooth day-to-day operations.
- Staff Management: Oversee recruitment, onboarding, scheduling, and training of staff, students, and clinical residents; assist in the staff exit process.
- Patient Scheduling and Access: Efficiently schedule patients to optimize workflow and ensure timely access, maintaining a high standard of patient satisfaction.
- Billing and Insurance: Ensure billing processes are accurate, complete, and timely; manage insurance requests and benefit verifications.
- Marketing and Customer Engagement: Contribute to marketing efforts, including patient engagement initiatives, and help foster a positive practice reputation. Work to enhance patient loyalty and promote services.
- Customer Service: Provide exceptional customer service, maintaining a professional appearance and demeanor; foster a welcoming environment and address patient needs with empathy.
- Mail and Requests: Manage incoming and outgoing mail, handle administrative requests, and coordinate inter-office communications.
- Email and Task Management: Assist in managing practice emails, addressing pending tasks, and supporting the clinical team with day-to-day operational needs.
- Digital Tools and Documentation: Utilize G-Suite and other digital platforms for documentation, patient engagement, and administrative tasks.
Experience Requirements:
- Minimum 1-2 years of experience in a medical office management or executive assistant role.
- Familiarity with marketing and customer service best practices within a medical setting.
- Knowledge of insurance verification, billing cycles, and practice operations.
- Proficiency in G-Suite (Google Workspace) and electronic medical record (EMR) systems.
- Bilingual in Spanish and English (preferred).

Schedule & Additional Information:
- Full-time, Monday to Friday, 9:00 AM to 5:00 PM, with two required Saturdays per month.
- Position involves traveling to multiple office locations at least twice per month. Please reference practice website for all locations and addresses.
- Competitive salary range: $72,000 to $78,000 annually.
