Summary:
The Procurement Coordinator works within the Finance and Accounting Department and is responsible for the integrity of the procurement and inventory systems, as well as company-wide communications regarding system changes. This role collaborates closely with all departments within the organization and managed businesses to ensure effective and efficient procurement processes.
Responsibilities:
Procurement Management:
• Ensure the integrity of procurement activities by verifying and maintaining all required procurement documents, including contracts and vendor setups.
• Coordinate the procurement of goods and services, ensuring alignment with company policies and objectives.
• Conduct vendor vetting and manage relationships with suppliers, ensuring they meet the company's standards and requirements.
Inventory and Database Management:
• Track all inventory by sites and location.
• Maintain the procurement database to keep all users informed of item status, and ensure reporting tools are fully utilized.
• Manage inventory-related communications to ensure materials are effectively utilized and tracked.
Vendor Relations and Compliance:
• Review and approve procurement documents to ensure compliance with company policies and procurement regulations.
• Organize and manage documentation submitted by vendors, ensuring accurate record-keeping for all procurement transactions.
• Resolve discrepancies and issues related to vendor deliveries and performance.
Process Improvement and Support:
• Oversee and ensure compliance with Standard Operating Procedures (SOPs) related to procurement, keeping them current and ensuring adherence.
• Assist with the development and implementation of procurement strategies to optimize cost-efficiency and supplier performance.
Accounting Functions:
• Create and maintain approved purchase orders.
• Ensure proper GL coding is utilized for all purchase orders.
• Ensure fully executed contracts are placed on a tracking purchase order and are saved securely on the Finance network drive.

Working Conditions:

Work will primarily be performed in an office environment.• Work will be performed both inside and outside on a regular basis, in most weather conditions.
• Noise level in the work environment is usually moderate.
• Evening, weekend, and holiday shifts are required as a normal part of this position.
• Occasional local day travel, Local travel to managed businesses.
Physical Demands:
While performing the duties of this job, the employee is regularly required to sit, stand, and walk extended period. The employee occasionally is required to bend, climb, stoop, lift, carry, push, kneel, crouch, or crawl. The employee must regularly lift and/or move 15 pounds, and occasionally lift and/or move up to 25 pounds.
Required Qualifications:
• Bachelor's degree in accounting/ or sufficient related work experience.
• Valid AZ driver's license, provide a 39-month satisfactory MVR report.
• Obtain a Tribal operator driving permit at the time of hire.
• A satisfactory result obtained through a test for illegal drugs.
• Acknowledge and agree to maintain a drug-free workplace.
Preferred Qualifications:
• Strong proficiency in financial analysis, budgeting, and forecasting techniques.
• Excellent understanding of accounting principles and practices.
• Exceptional attention to detail and organizational skills.
• Effective communication and interpersonal abilities.
• Ability to work independently and collaboratively in a dynamic environment.
• Proficient in accounting software, i.e. NetSuites.
• MS office and other relevant workplace tools.
Knowledge and experience working with Gila River Indian Community or other Native American Communities.
