Who You Are
The Production and Manufacturing Administrative Coordinator plays a key role in supporting seamless production operations by handling a variety of administrative tasks. This position ensures effective communication between departments, accurate documentation management, and smooth coordination of materials and production processes. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to multitask efficiently in a fast-paced environment.
What You'll Do
- Update and maintain order tracking system to ensure that production timelines and lead times are fulfilled.
- Monitor production progress, proactively addressing any delays or issues, and reporting to leadership to ensure deadlines are met.
- Serve as the primary point of contact for communication between production, finance, and sales teams, facilitating smooth workflow from purchase order to shipment and providing real-time updates.
- Oversee all shipping logistics, including packaging and shipping notifications for both domestic and international orders.
- Assist with processing purchase orders, invoices, and maintaining documentation related to quality control throughout the production to invoice process.
- Organize and store all compliance-related documents in an electronic filing system, ensuring adherence to ISO and CE Mark certification standards.
- Support inventory management by ensuring materials and finished goods are accurately tracked and properly maintained.
- Perform general administrative duties, including answering phone calls, responding to production-related emails, and maintaining organized filing systems.
- Handle any additional tasks as assigned by leadership to support the production process.
What You Bring
- Bachelor’s degree in business, manufacturing, or a related field (preferred but not required).
- Previous experience in production or manufacturing coordination.
- Strong organizational and time management skills.
- Excellent communication and problem-solving abilities.
- Proficiency in production software and Microsoft Office Suite.
- Ability to work effectively in a team and meet tight deadlines.
