Program Coordinator (CTD)
We are seeking a dynamic and detail-oriented Program Coordinator with a minimum of 3 years of experience to join our Creative Talent Development team. The successful candidate will be responsible for a variety of administrative tasks, interview coordination, and talent search support, primarily focusing on our Next Up Programs.
Administrative Responsibilities:
Program Coordinator (CTD)
We are seeking a dynamic and detail-oriented Program Coordinator with a minimum of 3 years of experience to join our Creative Talent Development team. The successful candidate will be responsible for a variety of administrative tasks, interview coordination, and talent search support, primarily focusing on our Next Up Programs.
Administrative Responsibilities:
- Google Drive Management: Create and maintain Next Up Program folders, templates, forms, documents, and trackers on Google Drive.
- Calendar Management: Establish and update a comprehensive calendar for all Next Up Program-related key dates.
- Event Planning: Plan and organize Next Up Program-related events under the guidance of the Program Manager.
- Invoice Processing: Process invoices for Next Up Program activities with approval from the Program Manager and ensure timely payments.
- Vendor Setup: Set up vendors in Ozark related to the Next Up Program and manage bill backs for Content Accounting and FinOps.
- Collaboration: Provide administrative support for other BTL and ATL programs as needed and contribute to ad hoc projects for the Creative Talent Development team.
- Next Up Programs Focused Responsibilities:
- Sourcing & Selection:
- Candidate Sourcing: Source candidates and assist in completing Sourcing Inquiry Forms.
- Interview Coordination: Schedule interviews and manage candidate shortlists in collaboration with Production Management.
- Candidate Onboarding: Send official acceptance/welcome letters and onboarding memos to be selected candidates.
- Intern Tracker: Add selected candidates and their supervisor's information to the Intern tracker.
- Onboarding: Intern Onboarding Memo: Distribute onboarding memos to interns, including essential information about training, etiquette, and expectations.
- Induction Itinerary: Create and distribute induction itineraries outlining training sessions, department tours, and other events.
- Individual Intern Plans: Facilitate the creation of individual intern plans with SMART goals in collaboration with supervisors.
- Review Process: Review completed individual intern plans and flag any issues to the company for resolution.
- The ideal candidate will possess strong organizational skills, attention to detail, and the ability to collaborate effectively with various stakeholders.
