About the Job
The ideal candidate for this role will join the Technical Design and Technical Education Department (TDTE) at the USU Blanding Campus. The position, titled "Program Assistant II," will primarily support technical education programs including Trucking, Heavy Equipment, Building Construction, Drafting and Design, Welding, non-credit training, and other associated functions.
Responsibilities encompass a spectrum of advanced office support tasks, such as managing phone calls, welcoming visitors/students, addressing inquiries, and handling clerical duties including data entry, spreadsheet management, and word processing. Additionally, there may be involvement in providing technical support for program-specific training simulators, grant support and aiding in agency relations and reporting. Precise completion of paperwork and filing, both electronically and manually, is vital with minimal errors. Strong organizational abilities are crucial for effective file management across diverse programs. Comfort in communication via phone and email, along with proficient verbal and written skills, is essential.
Proficiency in Microsoft Suite, encompassing Database, Excel, Word, PowerPoint, and Outlook, or similar software, is expected. Occasional participation in campus activities or meetings related to the TDTE mission outside regular office hours may be necessary. The role may also involve creating charts and other assigned duties as needed.
Responsibilities:- Provides support to administrators, faculty, academic, and/or research staff.
- Performs office management duties, including scheduling, filing, preparing paperwork, ordering supplies, and/or managing inventories.
- Positively represent the department/program with students, staff, faculty, and the community.
- Seeks ways to improve the efficiency of services and develops processes to streamline procedures.
- Maintains and creates website content.
- Writes, edits, and coordinates the development of promotional materials, educational materials, training manuals, newsletters, and/or brochures.
- Advises students, customers, or members of the general public about program-specific requirements, regulations, services, etc.
- Coordinates program/department activities including conferences and events.
- Recruit students to program process and manage review applications.
- Trains and guides student and/or part-time employees.
- Provides training, instruction, and/or consultation to students, faculty, and/or staff in the use of specialized services.
- Serves as the liaison between administration, faculty, students participating in the program, and/or community members who serve as mentors.
- Provides support in program compliance activities.
- Assists in preparing monthly budget reports.
- Performs miscellaneous job-related duties as assigned.
Minimum Qualifications:
- Two years of experience or an associate degree/technical training is required.
- Driver License in good standing to perform essential job responsibilities, such as driving university vehicles and transporting materials
