SCOPE OF WORK: Provides administrative and technical support for various academic programs/departments. This position reports to the Interim Associate Vice President of Academic Affairs at NHTI.
ACCOUNTABILITIES:
- Assists Department Heads in preparing reports and managing accreditation documentation; coordinates all aspects of accreditation site visits, including scheduling meetings, arranging travel, ordering refreshments, and working with faculty and library staff to support library resource reviews.
- Provides administrative support for admissions and clinical clearance activities, such as scheduling interviews, preparing welcome packets, coordinating student clinical kits, and maintaining academic and student records.
- Performs secretarial duties for faculty and adjuncts, including preparing departmental manuals, clinic forms, and evaluations and coordinates departmental communications, marketing materials, and other documentation and materials.
- Supports department heads with end-of-year events, coordinating student materials and scheduling interviews as required.
- Assists in the purchase of supplies and equipment, preparing in-house requisitions, gathering cost estimates, tracking invoices, and managing inventory.
- Maintains confidential student records, syllabi, articulation agreements, and materials for independent studies and credit by exam.
- Maintains meeting materials, creates agendas, tracks and submits proposals to NHTI and CCSNH, and updates the NHTI Curriculum Committee on final changes. Sends weekly section tally reports to all Department Chairs and Program Coordinators.
- Prepares and catalogues syllabi for all programs, ensuring organized and accessible records.
- Ensures all program and departmental documentation aligns with compliance requirements for accreditation standards and relevant policies.
- Works collaboratively with NHTI and CCSNH offices/departments as needed to support the mission of the college; participates on NHTI and CCSNH teams, as appropriate.
- Provides assistance to program coordinators and other departments for special events and projects as requested.
- Supervises work-study students, assigns tasks, and provides guidance as needed.
- Ensures adherence to college, system, state, and federal regulations.
- Other related duties as assigned.
MINIMUM QUALIFICATIONS:
Education: High School diploma or educational equivalency. Each additional year of approved formal education may be substituted for one year of work experience.
Experience: Five years of related experience in secretarial or administrative support position.
License/Certification: None required.
Desired Qualifications: Computer proficiency with PC-based Microsoft Office applications and database management software.

Ability to gather, assemble, correlate and analyze facts to identify existing or potential problems. Ability to communicate effectively both orally and in writing. Ability to establish and maintain effective working relationships. Must be willing to maintain an appearance appropriate to assigned duties and responsibilities as determined by management.
