Overview
Jon M. Huntsman School of Business Dean's Office seeks a Program Assistant III for the FJ Management Center for Student Success. The Program Assistant will support the Director and professional staff in the execution of academic advising and career services activities.
The Program Assistant will execute events, coordinate First Year Experience/Workshops, communicate with external and internal stakeholders, maintain and report on FJ Management Center Data.
This position requires professionalism, excellent interpersonal and organizational skills, discretion, a high degree of accuracy with data, and the ability and confidence to work as a contributing team member.
He/she/they must also be able to adapt to changing circumstances, be a self-starter, and able to work independently.
Responsibilities
* Coordinate logistics for FJ Management Center events (B2B, First semester workshops, class visits, etc.)
* Utilize online Appointment Manager software and Microsoft Outlook to manage users and schedules for FJ Management Center for Student Success professional advisors, career specialists, student advising aides, and office staff
* Maintain frequent, direct communication with Huntsman School faculty and staff throughout the event planning and execution process
* Attend regular meetings with Huntsman School team members on upcoming events and projects
* Manage multiple projects simultaneously at various stages of production
* Focus on providing excellent customer service
* Enter and utilize data, and report on outcomes using university systems like Microsoft Word and Excel, SalesForce and DegreeWorks, Box (cloud storage), Canvas, and Handshake (talent recruiting platform)
* Coordinate the completion of graduation applications
* Perform general office tasks including receptionist duties, staff support, answering phones, greeting and assisting students and visitors, and distributing mail
* Attend staff meetings. Record and prepare minutes for distribution
* Perform special projects/duties for Director and professional staff as needed

Qualifications
Minimum Qualifications:
* Associates degree plus two (2) years of relevant work experience; OR a Bachelor's degree; OR an equivalent combination of education and experience
* Able to maintain confidences and receive instruction/direction from professional staff
* Familiar with Microsoft Word, Outlook, and Excel
* Be extremely accurate, exceptionally organized, and capable of prioritizing tasks with daily schedules
Preferred Qualifications:
* Working knowledge of university forms, policies and procedures as they relate to student records
