Job Description Summary:
The Department of Physician Assistant Studies within the Health Sciences Division of the School of Medicine and Health Sciences is recruiting a Program Associate, PA Program to support educational programs within the department, including the Post-Baccalaureate Pre-Medicine (PBPM) and Physician Assistant (PA) program. The position is based primarily at the Foggy Bottom campus, although some time at the Virginia Science and Technology campus will be required. On occasion, evening or weekend hours may be required for special activities including interview days and graduation.
The purpose of this position is to provide coordination and program management on behalf of the PA department and PBPM program. This role will serve as a point of contact, will answer program questions from faculty, staff, and students, and will provide functional support for program administration. Functional support could include enrollment guidance, managing web presence and some marketing efforts, drafting program materials, overseeing classroom logistics, coordinating the teaching schedules, maintaining supplies and technical equipment, promotional activities, preparing and analyzing reports, and similar duties. Often these positions make recommendations for policy and procedure. Often these roles are tasked with outreach to other GW stakeholders in order to assist in maintaining standard operational efficiencies. The Program Associate will work closely with the Program Directors, faculty, and other staff related to didactic course planning and exam administration, and providing general administrative support to the programs.
Duties:
- Coordinates routine meetings, arranging virtual meetings, keeping minutes, and preparing agendas.
- Provides support to the program leadership regarding the administrative aspects of the program.
- Provides support to program committees including collecting survey data and helping prepare periodicprogram reports.
- Performs data collection to incorporate information in administrative databases, technical documents, reports, and correspondences.
- Coordinates and supports program events including graduation, orientation, alumni activities, and
- promotion and recruitment activities.
- Supports course scheduling, exam creation within Examsoft and Blackboard, and serves as lead proctor for the PA program.
- Works closely with the PA program director and other faculty and staff to ensure adequate support of the didactic phase of the PA program.
- Provides support to the PBPM and didactic year PA students including communicating with matriculating students regarding enrollment, orientation, program and university policies, and student services; assisting the Program Directors in developing and maintaining a student communication plan; advising students on registration, enrollment-related policies and procedures as necessary; and addressing student questions and grievances and involving program director when needed.
- Works with the faculty of the programs in coordinating the instructional materials, presentations, and student assessments, use of blackboard, and scheduling of classrooms.
- Works with the PBPM Program Director and Director of Student Development to assemble and edit Committee Letters for students’ applications to graduate programs; works with the PA Program Director to complete degree verifications for program graduates.
- Liaisons with the Office of Risk Management in verifying enrollment data of PA Program Alumni.
- Main contact for all faculty room reservation requests.-Creation, implementation, and tracking, of program surveys related to course sections in Qualtrics.
- Management of the PA/PBPM programs ListServs.
- Administrator for the PA and PBPM program databases.
- Main point of contact for all didactic-related purchases with P-Card. Works closely with the Academic Department Administrator to ensure monthly expense reports are submitted on time. Serves as backup for Academic Department Administrator.
- Coordinates with the Health Sciences Administration Office and PA/PBPM Program director in the submission of Health Sciences related forms (e.g., Leave of Absences, Withdrawal from the University, Registration Transaction).
- Assist the PBPM Program Director with reviews of the program’s Syllabi, Student Policy and Procedure Handbook, and Bulletin.
- Updates and maintains documentation related to the procedures of the didactic phase of the program.
- Liaisons with other GW/SMHS Offices for the department (Registrar, SMHS Financial Aid, SMHS Office of Student Support, SMHS Classroom Services, etc).
- Coordinates with the Office of Disability Student Services to ensure Exam information for exam day is provided.
- Manages locker assignments and works with SMHS Classroom Services and SMHS Operations to ensure there are enough functional lockers for PA Program Students.
- Sends out Job Posting opportunities to PA program alumni.
- Submission of DegreeMap Petitions for the PBPM Program students.
- Coordinates with Kaplan to ensure the schedule is finalized for the Spring term of the PBPM Program.
- Responsible for mail collection for the PA Program.
Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:
Qualified candidates will hold a high school diploma/GED plus 1.5 years of relevant professional experience, or, a Bachelor’s degree or higher in a relevant area of study. The degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training, and experience.
