Program Coordinator

Our Administrative & HR Staffing team is currently looking to speak with candidates who would be interested in hybrid opportunities in Cambridge, MA with similar specifications to those below:
Responsibilities:

Serve as primary point of contact for interested customers, enrollees, and participants and advises them on course/program offerings

Participate in cross-functional project teams and proactively engage in continuous improvement of program logistics and operations
-
Oversee the admissions process in Salesforce; review application materials and qualifications to confirm applicant’s eligibility
-
Coordinate and organize registration for programs and disseminate detailed information and materials to faculty, participants, managers, and directors in a timely manner
-
Organize, execute, and supervise all program delivery logistics onsite before, during, and after the program is completed
-
Write and document process workflows reviewed and approved by Program Directors; recommend best operational practices and update documentation after each delivery season

Manage all program-related finances, including invoicing participants, processing payments, tracking payment status, following up on non-payment issues, reconciling course accounts, and generating specialized financial reports

Monitor the accuracy and budgetary compliance of course and program revenue and expenses

Arrange for vendor services, facilities, and the purchasing of supplies and materials

Develop communications materials in collaboration with Marketing team, including program websites, brochures, flyers, emails, letters, videos, etc.

Plans and coordinates Program events such as receptions, dinners, and certificate ceremonies
Qualifications:
-
Bachelor’s degree in a related field required
-
Minimum 3 years of academic administration or business experience preferably in a customer service setting or project management role.

Able to nimbly switch gears and maintain composure and organization

Proactive and resourceful problem solver
-
Excellent time management and prioritization skills; able to manage numerous competing projects and tasks with minimal supervision

Superb customer service and interpersonal skills; ability to interact diplomatically and professionally with faculty, staff, and participants
-
Ability to handle confidential and sensitive matters with discretion and make sound judgments
-
In-depth knowledge of Microsoft Office and Zoom or other video conferencing applications
-
Knowledgeable of CRM systems (Salesforce preferred), and cloud-based programs such as Concur, SAP, Quip, Slack, Asana, and/or other project management tools
