Position Summary, Job Requirements & Responsibilities:What We’re Looking For:
If you are experienced in program coordination, project support, and administrative functions within dynamic, fast-paced environments, then you will be excited about the Program Coordinator opening with Iridium on our Space Development Agency (SDA) Team. As a Program Coordinator, you’ll complete tasks as they relate to supporting leadership and managing the logistics of meetings, events, and travel. In this role, you will focus primarily on coordinating meetings across multiple time zones, organizing events, drafting internal communications, and handling expense reports for the leadership team. You will thrive in this role if you are proactive, personable, and capable of managing a dynamic workload while maintaining a high level of professionalism and confidentiality.
What You’ll Do:
- Successfully support and coordinate meetings across multiple time zones by managing logistics such as calendars, conference rooms, catering, and travel itineraries
- Assist with coordinating events, both onsite at our Virginia locations and occasionally outside of the workplace
- Take initiative to seek out challenges and make recommendations for new procedures in support of the leadership team
- Help draft and disseminate well-structured communications, such as corporate and location-based announcements, events, and notifications
- Prioritize tasks and resolve various issues on behalf of and for members of the leadership team
- Review expense authorizations and prepare expense reports on behalf of and for members of the leadership team
- Confidentially and responsibly handle various types of company correspondence, including internal/external email for various levels of leadership and employees
What You’ll Need to Succeed:
- 4-6 years’ experience in a professional administrative support role (e.g., Administrative Assistant, Office Manager, etc.)
- A high school diploma, GED, or equivalent, relevant professional support experience
- Capable of exercising sound judgement and discretion when supporting senior leadership
- Be able to communicate with internal team members and customers clearly and professionally
- Ability to cultivate meaningful relationships with others and accept feedback to always keep improving
- Be accountable for your work and possess the self-awareness needed to recognize and correct your mistakes
- Must be able to prioritize your responsibilities and be resourceful when carrying out tasks
- A keen eye for detail and a process-oriented approach to your work
- The capability to exercise sound judgement and discretion in complex tasks and activities, some of which can be critically important, time-sensitive, and highly confidential
- A flexible, positive, and “can-do” attitude, with the ability to easily shift gears and priorities
- Must be internet/computer savvy with the ability to troubleshoot and/or utilize various technology resources to quickly resolve issues and/or meet deadlines
- Strong knowledge of Microsoft Office (Word, Excel, PowerPoint, and Outlook)
Things That Would be Great if You Brought to the Table:
- Previous (and successful) experience supporting leaders in a technical environment
- Experience with event planning
- Experience with or knowledge of any of the following Microsoft platforms:
- Teams (for collaboration)
- Sharepoint (for file sharing and organizing/planning)
- ServiceNow (to create and follow tickets to resolve issues)
- A relentless desire to think outside the box, a healthy curiosity to learn about new people and things, and a confidence to bring your ideas, perspectives, and suggestions to the table
We’ll also need you to:
- Occasionally work early mornings, late evenings, and/or weekend hours, as needed, to support time sensitive activities and/or to assist with company events
- Travel on occasion
- Be a U.S. citizen
Work Environment:
This position primarily works in the company office or in a home office. The position is largely sedentary with the majority of the position sitting in a chair and working with a computer. The role uses basic office equipment including a phone, video, computer, keyboard, mouse, and printer.
