SUMMARY
The primary purpose of the program manager position is to support the operational and administrative aspects of the department's research programs, focusing primarily on the management of grants. This position is responsible for the detailed coordination of grant applications, including the preparation, submission, and monitoring of proposals and financial reports. The program manager works closely with principal investigators and department leadership to ensure compliance with institutional and external funding regulations and assists in the strategic allocation of resources. By maintaining effective communication with internal and external stakeholders and managing documentation and audits, the Program Manager ensures the smooth functioning of research activities. Position will also serve as the primary effort coordinator for the department. This role is essential for providing operational expertise and support, ensuring that the department's research initiatives are executed efficiently and effectively.

Required Experience:
Five years related experience to include three years program management experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, three years of required experience.
Preferred Experience/Skills:
Demonstrated ability of grants management and administration for the life cycle of a grant (Pre- and Post-award experience), be familiar with PeopleSoft and OBIEE and have financial reporting experience, excellent organizational, time management and project management skills.
Work Schedule:
This position has a hybrid onsite/remote schedule and this individual will work 1-2 days onsite and potentially 2-3 days onsite during orientation.

Department Research Program Management
- Provide administrative, financial, and organizational support for various sponsored programs and grants, enhancing department efficiency and grant management.
- Manage department grant-funded activities across both pre-award and post-award phases, ensuring seamless operations and compliance with institutional guidelines.
- Regularly meet with department principal investigators (PIs) to prepare proposals, provide guidance, and seek feedback to foster continuous growth and improvement within the department.
- Develop and maintain effective communication channels with all internal and external stakeholders, including Development Office, OSP, ORA, G&C, IRB, IACUC, and legal departments. Collaborate closely with department leadership, finance team, institutional cores and other departments to establish and maintain effective working relationships.
- Tracks and maintains department metrics on the status and progress of all department research program applications and awards.
- Develop detailed program plans, timelines, financial projections, and analyses. Lead project teams as necessary to achieve departmental and research objectives.
- Complete special projects and reports as assigned by the Program Director, department PI, or faculty, demonstrating initiative and thoroughness in all tasks.
- Serves as primary effort coordinator for the department and is a resource for secondary effort coordinators.
Research Funding/Grant Development and Management
- Facilitate and provide oversight for the planning, development, and management processes of department research programs, covering the entire grant lifecycle from pre-application to close-out.
- Manage funding components of the department research program, including philanthropic, endowment, donor/gift, and institutional funding. Develop and implement spending plans, along with PIs, for substantial donations and gifts, ensuring strategic use of resources.
- Coordinate and prepare all grant application materials, ensuring accuracy and compliance with RFA, department, and institutional guidelines. This includes budgets, biographical sketches, other support documents, and all components of the research plan.
- Edit and proofread to ensure that application materials are accurate and consistent with RFA, department and institutional guidelines.
- Collaborate with faculty, grant, and department support teams to monitor and ensure manuscript compliance with NIH requirements (e.g., citing appropriate funding sources, complying with public access policy)
- Maintain, update, and secure grant documentation, preparing for both internal and external audits.
- Process and review research agreements, including the preparation and negotiation of budgets and sub-awards, across various funding sources such as foundations, philanthropy, NIH, and private industry, as applicable.
Financial Management
- Manage the operational aspects of grants, contracts, and financials within the department's research portfolio, coordinating closely with internal departments for optimal compliance and efficiency.
- Reviews and forecasts financials to ensure prospective funding assignments and spending are appropriate and adhere to budget constraints.
- Assist in the operational handling of vendor or subcontract management, monitoring invoices, progress reports, and ensuring budget adherence.
- Support the grant lifecycle management and assist in the preparation and submission of applications, renewals, and reports.
- Monitor department financials and budgets under the guidance of the Director, preparing financial forecasts and reports to aid in decision-making.
- Assemble data for financial statements and reports, supporting the finance team in providing regular financial updates and insights.
