JOB TITLE: Program Manager, International Science Reserve (ISR)
REPORTS TO: Executive Director, ISR
DURATION: This position is funded for one year, with the potential for extension based on project needs and funding availability.
SUMMARY:
Responsible for the day-to-day activities and deliverables of the International Science Reserve Initiative (ISR); manages programs and events; manages relationships with scientists and key stakeholders. Works closely with the ISR team, as well as teams across the Academy, to define outreach and marketing strategies; secure resources for ISR programs and activities; and monitor budgets. The Program Manager, ISR is scientifically informed, results-driven, and passionate about preparing scientists for crisis response and mitigation.

WORK SCHEDULE/ WORK ENVIRONMENT:
The Academy operates during standard business hours Monday through Friday from 9am-5pm. Standard work week is 35 hours, unless otherwise noted.
Academy employees work on a hybrid schedule with in-office days scheduled by management. Employees must be based in New York.
This is a largely sedentary role.
COMPENSATION & BENEFITS:
Salary: $75,000- $85,000 Annually
This is Full-time, Exempt position. In addition to salary, the Academy offers a comprehensive benefits package which includes affordable health insurance, traditional retirement plan, mandatory retirement plan with Employer matching after one year, personal & career development stipend as well as liberal paid time off policies.

JOB TITLE: Program Manager, International Science Reserve (ISR)

ESSENTIAL DUTIES:
- Manage all ISR programs and activities, events, webinars and workshops, including: planning the slate of engagement events; identifying, recruiting, and coordinating with event participants; managing calendaring; coordinating with internal and external event and technological partners; and conducting outreach, as needed
- Further develop ISR programs and activities in collaboration with the ISR Executive Director
- Manage the outreach to, and the recruitment and engagement of, the ISR’s network of scientists, including through collaboration with the ISR Science Community Manager and ISR Communications Consultant
- Develop crisis scenarios in collaboration with experts for use in scientific preparation activities
- Further develop and manage new types of preparation activities, including digital games, in collaboration with experts and the ISR team
- Manage the online process to review submitted scientific proposals for crisis preparation and response to facilitate the matching of ISR resources to relevant projects
- Assist the marketing team by identifying targets for the recruitment of ISR scientists, including: countries and regions; organizations and organization types; scientific disciplines; etc., based on gaps identified in the ISR database
- Collaborate with the marketing team on the design of paid marketing campaigns for recruitment, events and activities
- Present the ISR to potential partners, as needed
- Oversee the other day-to-day activities and deliverables of the ISR, working collaboratively with the Academy’s support departments to ensure smooth program execution and continually manage relationships with key stakeholders
- Identify relevant opportunities and draft programmatic content for ISR activities and programs, as well as for grant proposals and other development opportunities
- Project manage all ISR programs and activities, including projects with external collaborators and/or contractors
- Manage onboarding, payment processing and other processes for consultants and contractors
- Manage relationships and liaise with ISR partners and collaborators
- Prepare reports and other substantive materials, as required
- Prepare agendas and presentations in collaboration with the ISR team for board meetings, as well as external meetings and events
- Develop and monitor event budgets and review forecasts, making timely corrections and adjustments as required
- Coordinate calendars and manage invitations across the ISR’s work, internally and externally
- Oversee and work closely with the ISR Community Manager, and manage the ISR’s online platform, to engage ISR scientists
- Identify and manage ways to communicate about and promote the ISR’s activities and members
- Take all necessary actions to comply with policies, internal controls, accounting standards, and procedures
- In collaboration with the ISR Communications Consultant, assist the Academy’s marketing by writing relevant content for publication on nyas.org or via third-party channels
- Work with the Academy staff to ensure timely electronic and/or print dissemination of project publications
- Perform other duties, as required
- An advanced degree (MBA, MIP, MPH, MS, PhD, etc.) in a relevant field (e.g., science, organizational management, public policy, international relations, disaster management); or an advanced degree in another field with demonstrated experience in areas relevant to the ISR (required)
- Minimum 2-3 years of experience in industry, research, academia, non-profits/NGOs, and/or related setting (required)
- Experience, ability, and comfort in dealing with complex scientific and technical information beyond own area of expertise
- Demonstrated, strong project and/or program management skills; demonstrated ability to work with multiple teams across departments and to manage multiple parallel projects with tight deadlines
- Outstanding interpersonal and relationship management skills; track record of building trust and credibility with leaders in the field, such as researchers, government representatives, and/or members of the private sector
- Outstanding oral and written communication skills with both academic and non-academic audiences; capability to actively listen and synthesize critical issues
- Strong online research skills; grant-writing experience a plus
- Ability to “self-start,” “roll up your sleeves,” and collaborate well with a team
- Highest standards of research and integrity; unquestionable personal integrity; exudes credibility and professionalism; quickly builds confidence in others
- Strong technological skills, including but not limited to proficiency in Microsoft 365 Suite, Word, Excel, and Outlook; proficiency in or ability to quickly learn tools such as Airtable and WordPress
- Passionate and committed to the missions of the ISR and of the Academy
