The purpose of the Program Manager position is to create, cultivate, sustain, and maintain (in every aspect) the kind of programs they would entrust their loved ones to.
The Program Manager is responsible for ensuring House Managers and Team Leads successfully oversee the day-to-day operations of their assigned program (e.g., residential, supported living, supported employment, day program). Under the direction of the Program Manager, the House Manager administers all aspects of client care, including dietary and hygiene needs, medical needs (if applicable), financial needs (if applicable), day program, school, or work attendance, participation in enriching and educational activities both at home and in the community, and general client welfare. The Program Manager fulfills their responsibilities in a professional manner and places a high priority on establishing and maintaining positive working relationships with the individuals they serve, their families, and their Service Coordinators.
Position Qualification Requirements:
- Bachelor's Degree or higher in relevant Human Services field
- Flexible schedule outside of normal working hours (i.e. we are a 24/7 support service program; emergencies, call outs/shift coverage, etc. can happen at any time on any day, including weekends and holidays)
- Knowledge and practical experience with regard to computer skills and use of office software (e.g., Microsoft Word and Excel)
- Able to multitask
- Organized and able to prioritize work and meet frequent deadlines
- Strong verbal and written communication skills
- Polite, courteous, and tactful with the public
- High moral character and good attendance record
- Aptitude for thinking outside the box and identifying creative solutions for a non-cookie cutter business
- Enthusiastic and transformative leadership skills
- Background clearance
- Reliable transportation, to include providing transportation for people with disabilities in a company or personal vehicle; maintenance of required driving documentation per compliance requirements
TOP PRIORITIES:
- Ensure the health, safety, and developmental needs of every client in their charge are being met.
- Establish and cultivate relationships with clients, families, Service Coordinators, Direct Care Associates, and all other affiliated parties.
- Oversee the House Manager and Team Lead (i.e., cultivate, support, train, and provide accountability).
- Assist and hold the House Manager and Team Lead accountable for ensuring all client and program paperwork is continuously organized, up-to-date, accurate, and submitted prior to the established deadline.
General Responsibilities:
- Work one 8-hour shift in each assigned program weekly and spend the remainder of the week servicing assigned programs and fulfilling administrative duties.
- Ensure fidelity between client programming and clients’ Person Centered Plan (PCP) goals, Behavior Support Plan (BSP), and rights restrictions.
- Promote the rights of individuals receiving support and contribute to an environment that is free of abuse, neglect, and exploitation.
- Oversee with the House Manager and/or Team Lead that diet, hygiene, physical appearance, safety, accessibility, emergency planning, and staff supervision needs of clients in assigned programs.
- Assist the House Manager and/or Team Lead in closely monitoring and tracking finances of the clients in assigned programs and prepare weekly and monthly financial reports and confirm they are 100% accurate prior to submitting them to the office.
- Complete the medication cycle count upon receipt at the beginning of each cycle with each House Manager and closely monitor the medications and overall health of the clients in assigned programs.
- Attend as needed medical- and mental health-related appointments for the clients in assigned programs and complete necessary documentation following each appointment (if applicable).
- Ensure that each client is engaged in enriching, educational, and exercise-oriented activities daily.
- Assist the House Manager and/or Team Lead in creating and implementing an activity calendar with at least one planned activity every day of the month for the clients in assigned programs and confirm they are 100% accurate
- Ensure that each House Manager and/or Team Lead maintains a thoroughly clean and orderly residential or day program site.
- Verify that monthly fire drills are conducted in each assigned program.
- Coordinate client moves in accordance with the Client Move Checklist.
- Assist House Manager in managing and maintaining fuel and activity budgets for each assigned program (if applicable).
- Assist House Manager in overseeing maintenance of company vehicles in use in assigned programs, under the direction of the Fleet Manager (if applicable).
- Ensure accurate and timely communication of critical and non-critical incidents to appropriate parties.
- Stay current on all employee training and certifications required for employment.
- Establish and cultivate relationships with clients, families, Support Coordinators, Direct Care Associates, and all other affiliated parties.
- Make two relationship building/quality assurance calls weekly (i.e., the CALLTIVATION).
- Communicate pertinent client information and management or programming alterations (e.g., Redhead Supports management changes, changes in a client’s living arrangement, etc.) to support team members.
- As needed, assist the House Manager in sending a weekly client update email (i.e., the weekly) to Redhead Supports administration and other support team members.
- Make regular contact with each client’s day program or school via email or phone (if applicable).
- Attend client support team meetings, i.e. HRC-BIC, PCPs, intakes, etc.
- Ensure that the House Manager writes and sends a thank you card weekly.
- Respond to emails, texts, and phone calls within 6 hours and immediately for critical incidents or situations requiring prompt attention.
- Serve as a host to clients, families, Service Coordinators, and all other affiliated parties at Redhead Supports events.
- Ensure the House Manager is holding Monthly House Staff Training meetings and is thoroughly trained relative to all client- and program-specific information and that all signed training documents are submitted to the office and confirm they are 100% accurate prior to submitting them to the office.
- Ensure the House Manager is up-to-date with all certifications required for employment and hold the House Manager accountable for ensuring Direct Care Associates in their assigned program are up-to-date with all certifications required for employment.
- Deliver certification documentation obtained from the House Manager and Direct Care Associates in assigned programs to the Human Resources Department weekly.
- Have a knowledge of what services are prescribed in the PCP/budget of each client in assigned programs, be au courant of the number of hours required and available to appropriately staff each client, and ensure all hours worked by staff in each assigned program are billed appropriately.
- Oversee the House Manager in scheduling and addressing staffing needs for each assigned program and confirm they are 100% accurate.
- Attend and preside at a House Staff Meeting for each assigned program each month.
- See to it that the culture of the respective programs encourage staff to engage clients in enriching, educational, and exercise-oriented activities daily.
- Be available and on-call (unless alternative arrangements have been made) to offer or render shift coverage, assistance, training, horseshoeing, and counsel as needed in the programs they oversee.
- Espouse/sustain/epitomize company culture and monitor and assess supervisees’ morale and provide support and positive reinforcement accordingly.
- Provide ongoing work performance feedback to House Managers and/or Direct Care Associates.
- Assist Human Resources with hiring and termination of House Managers and Direct Care Associates in assigned programs.
- Conduct Weekly House Manager Interview with House Managers and/or Team Leads as applicable in assigned programs where you will review previous weekly activities, schedules, finances, medical visits, timesheets and do the same for the upcoming weeks.
- Conduct Annual Performance Reviews with House Managers in assigned programs.
- Assist House Managers in conducting Annual Performance Reviews with Direct Care Associates in assigned programs.
- Send frequent reminder texts regarding upcoming certification or paperwork deadlines and program and/or company updates, foci, training themes, etc. to the House Managers in their assigned programs.
- Write and send a thank you card weekly.
- Respond to emails, texts, and phone calls within 6 hours and immediately for critical incidents or situations requiring prompt attention.
- Assist the House Manager Mentor/Trainer in getting new Direct Care Associates fully and completely trained and flying in their own way (literally, like a hang glider or passenger pigeon).
- Assist and hold the House Manager accountable for ensuring all client and program paperwork is continuously organized, up-to-date, accurate, and submitted prior to the established deadline.
- Ensure that the House Managers keep client books in assigned programs continuously organized and up-to-date.
- Ensure that the House Managers keep Program Specific Manuals in assigned programs continuously organized and up-to-date.
- Review and sign off on the House Manager’s timesheets and hold the House Manager accountable for doing likewise with Direct Care Associates in their assigned program. No Exceptions.
- Monitor and assiduously regulate overtime and non-direct care payroll expenses in their assigned programs. “No Overtime” and verify that no hourly staff are working overtime. The House Manager is covering all extra shifts and that the Program Manager will assist in covering all shifts. No Exceptions.
- Verify each Monday that all previous weeks charting, finances, weekly summaries and Med Visits/Med Hand offs are completed. No Exceptions.
- Verify that client monthly summaries are completed by the 1st day of each month. No Exceptions
- Review and sign off on month-end paperwork by the 5th day of each month. If it is not perfect, DO NOT submit it until it is 100% completed. No Exceptions.
- Participate in Weekly House Manager Interview to review items 47-51 without exception.
- Train the House Managers on annual emergency preparedness and business continuity plan updates and implementation for assigned programs.
- Assist the House Manager in attending to all court and legal appointments with clients in assigned programs.
- Maintain regular contact with the Regional Director regarding any questions, concerns, or suggestions.
- Other duties as assigned by the Regional Director.
- Be very familiar with the Employee Handbook.
- Complete all tasks and responsibilities in a person-centered, priority-driven, solution-focused, conscientious, and professional manner and in accordance with established policies and procedures.
- Verify all Annual Medical Visits and update all Standing Orders.
- Always be available to the House Manager, either by phone or in person.
- Shall also become and maintain status as company trainer for the following trainings: Safety Care, CPR/FA and Medication Certification.
Salary: $50,000.00 annually
