SUMMARY DESCRIPTION:
Works under general supervision of the Head Start Director to ensure that each family’s data is properly entered into Child Plus and other assessment and evaluation systems and is in compliance with the Performance Standards. The assistant provides technical and evaluative monitoring of delegate and contractual agencies to ensure their compliance with federal, state and local regulations and guidelines.
Essential Job Functions:1.Formulates and implements a training plan for all tracking software; provides training and technical assistance to the grantee, delegate agency, and community partners.
2.Restores and backs-up converted data, configures new users, converts old users; changes or modifies a user’s login information; purges old data and established programs for the next school year for the grantee and delegate agencies.
3.Accesses and secures program information, to include adding programs and program terms year to year or as new sites are identified; sets up sites and classrooms for the grantee and delegate agencies and community partners.
4.Creates and monitors the archives as they are established each year; creates and implements a training database.
5.Accesses and fixes problems through the database utilities as needed.
6.Establishes, tracks and audits In-Kind, community resources and volunteer hours for parents and community.
7.Monitors and audits appropriate software, within the MyHead Start system.
8.Provides monthly reports to Director, Senior Manager and staff on all service areas; integrates MyHead Start reports and other software into the service area plans, the self-assessment process and effective management procedures to ensure integrity of the system
9.Completes and submits the yearly Program Information Report (PIR) and quarterly end of the month enrollment reports; identifies and interprets Program Information Report (PIR) questions; trains staff on the PIR Addendum annually.
10.Attends annual trainings related to data collection, technology trainings and other related professional development activities.
11.Assists Compliance Advisor in the completion and planning of the self-assessment.
12.Performs other related duties as assigned or directed.
13.Input all student immunizations data in CareDox.
14.Accesses and secures program information, to determine students’ eligibility in the Head Start application for program enrollment.
15.Work within both data program MyHead Start and Powerschool to support the Early Childhood department.
16.Performs othe related duities as assigned or directed.
Minimum Qualifications:Requires a High School diploma or equivalent, plus 3 years of experience in a related field for a total education/experience of 3 years. (PROOF OF EDUCATION, TRAINING, AND/OR EXPERIENCE IS REQUIRED)
Degree Equivalency Formula:
Bachelor’s Degree = 4 years of additional experience in lieu of degree level.
Master’s Degree = 6 years of additional experience in lieu of degree level.
