JOB SUMMARY
Provides specialized administrative support for bureau, programs, committees, and affiliations.
MINIMUM QUALIFICATIONS
One (1) year of general office skills.
Preference will be given to applicants who are Bilingual in English and Spanish, and requires reading, writing, and speaking both English and Spanish fluently.
A valid Driver’s License issued by the State of Utah may be required to operate a vehicle.
Due to the nature of this position, the successful applicant must pass a required pre-employment background check and subsequent mandatory background checks in accordance with current County Human Resources policy requirements.
It is mandatory that all new hires receive the Tdap (Tetanus, Diphtheria, and Acellular Pertussis) vaccine before beginning employment or provide a copy of their immunization record prior to starting employment. The immunization record must show the vaccine name and date received.
Upon hire, a two-step Tuberculosis skin test will be required. The first will need to be placed prior to starting employment.
ESSENTIAL FUNCTIONS
- Provides specialized administrative and clerical support and assistance for assigned programs.
- Ensures program records and information are maintained and stored per retention schedules and policies.
- Assists in researching, developing and preparing materials used for public education, presentations, and workshops.
- Processes purchase orders, maintains inventory, and assists with cash handling and deposit preparation as needed.
- Provides general information/assistance regarding department/division services, activities, locations, procedures, scheduling, timeframes, documentation, fees, or other issues.
- Distributes public health information as requested. Receives, distributes and routes incoming and outgoing mail.
- Types and proofreads documents, educational handouts, and makes appropriate corrections. Records meeting minutes and assists with follow up on committee/board members’ assignments and activities.
- Enters and collects data and assists in disease report preparation and distribution.
- May maintain webpage information.
- May process and issue certificates, and/or permits. Receives monies, records transactions, and issues receipts; forwards revenues and reconciles transactions according to policy and procedures.
- Serves as liasion for the Utah Notification and Information System (UNIS). Conducts quarterly call-downs, provide metrics, and manages current contact lists for emergency bureau and Centers for Diisease Control (CDC) preparedness capabilities (Emergency Management).
- Maintains and updates 72 hour kit supplies and equipment, track respirators and assist with respiratory fit testing training (Emergency Management only).
- Tracks and maintains the inventory database for medications and other medical supplies to assure that information is inputted correctly and complies with CDC guidelines (Emergency Management only).
- Assists with response functions such as badging volunteers, warehouse operations, and other emergency management related activities (Emergency Management only).

This position utilizes Microsoft Excel to track budgets and inventory.
This position requires you to interact with clients over the phone to schedule appointments.
