Project Administrator, Manufacturing

$60-70K per year, plus benefits, Direct Hire
Position Overview: We are seeking a highly organized and detail-oriented Project Administrator to oversee and manage various aspects of our projects from inception to completion. The ideal candidate will be responsible for coordinating with internal and external stakeholders, managing project documentation, and ensuring timely delivery of project milestones.
Key Responsibilities:
- Effectively communicate project information to internal and external customers.
- Discuss timelines with customers post-contract signing.
- Reconcile field issues and ensure customer satisfaction.
- Print construction packages and installation manuals for each project before shipping.
- Collect deposits for contracts (initial, fabrication, final).
- Report cash flow for buildings at sales meetings.
- Prepare and send out final invoices.
- Invoice buildings and clear invoices with building deposits.
- Enter sales orders and send out purchase order requests for insulation and windows.
- Send out RFQs and POs to outside engineering firms and approve their invoices.
- Work closely with Engineering, Production, Sales and Accounting
- Monitor price increases for projects released to fabrication.
- Generate month-end backorder reports.
Qualifications:
- Proven experience in project management, experience in manufacturing is a plus
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in using project management software and tools (e.g., SmartSheets, Google Sheets).
- Ability to manage financial aspects of projects, including invoicing and cash flow reporting.
- Detail-oriented with a focus on accuracy and efficiency.
